JOB TITLE: Controller

JOB SUMMARY: Under direction of the CEO/President, the Controller will be responsible for oversight of all finance, accounting and reporting activities. They will prepare and provide presentations to the board finance and audit committees, the full board, and will work closely with management. The director will lead all day-to-day finance operations and supervise a team including functional responsibility over accounting, accounts payable, accounts receivable, payroll, maintenance and grants administration. They will ensure systems and procedures are in place to support effective program implementation and conduct flawless audits. They will work closely with program managers and their staff, not only to educate them regarding finance and accounting procedures but also to explore how the finance function can support program operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES - FINANCE:
- Oversee all accounts, ledgers, and reporting systems ensuring compliance with appropriate GAAP standards and regulatory requirements.
- Maintain internal control and safeguards for receipt of revenue, costs, and program budgets and actual expenditures.
- Consistently analyze financial data and present financial reports in an accurate and timely manner; clearly communicate monthly, quarterly, and annual financial statements; monitor progress and changes and keep management abreast of current financial status.
- Lead and work with management in the annual budgeting and planning process; administer and review all financial plans and compare to actual results with a view to identify, explain, and correct variances as appropriate.
- Support the CEO in engaging the board and the board’s audit and finance committees around issues and trends in financial operating models and delivery.
- Oversee all financial, project/program and grants accounting; ensure that expenditures are consistently aligned with grant and program budgets throughout the grant/fund period; collate financial reporting materials for government, corporate, and foundation grants.
- Forecast organizational cash flow by working in partnership with management; continuously collaborate with program staff to assess the financial efficacy of program operations and establish finance and administrative systems to support program operations.
- Manage and track the performance of invested assets in keeping with policies and investment guidelines.
- Oversee the verification and reconciliation of W2 forms including distribution and preparation of yearly 1099’s.
- Managing ongoing banking relationship.
- Main contact for banks and credit card processing companies.
- Opening and counting money from donation boxes.
- Preparation of invoices for submission to various funding agencies. (Department of Aging)
- Main contact with Department of Aging monitor and fiscal staff.
- Preparation of closeout reports/schedules required by grants and contracts. (Department of Aging)
- Assists in monthly closing of the agency’s books including preparation of the necessary adjusting entries.
- Prepares year-end adjusting entries including accrued income, grant receivables, depreciation, vacation accrual, Accounts Payable and expense allocation.
- Oversees organization annual independent audit and other state and local program reviews/audits.
- Oversees with workers’ compensation audit and prepare spreadsheets by w/c codes.
- Train Accounting/Administrative clerk in Accounts Payable, Accounts Receivable, and other related Accounting duties.
- Handling vendor inquiries, bank inquires, questions related to reporting for Dept. of Aging or other various funding sources.
- Assist with reports for development required by foundations and grants.
ESSENTIAL DUTIES AND RESPONSIBILITIES – HUMAN RESOURCES:
- Interface between HR consulting firm and Administration.
- Complete the application for the annual insurance renewal.
- Handles employee relations counseling, investigations, and incident reports when needed.
- Participates in administrative staff meetings and attends other meetings and seminars.
- Maintains company Organization charts and the employee directory.
- Maintains All Master files, including: Employees, Contractors, volunteers, interns, & Title V workers when needed
- Assists with termination process, including exit interviews when applicable.
- Assists with onboarding of Interns, background checks, volunteers and Title V Workers when applicable
SUPERVISORY RESPONSIBILITIES:
- This position will supervise the accounting and maintenance staff and will serve as a coach and mentor for the departments. Provide coaching, guidance and support, set professional development plans to assist accounting clerk to reach their full potential through the performance management process.
- Ensure the team delivers the highest standard of departmental, cross department and cross organizational teamwork and customer service.
- Recommend timelines and resources needed to achieve departmental goals.
- Attending senior management meeting and leadership meeting.
JOB QUALIFICATIONS:
- Minimum of a BA; CPA and/or MBA preferred.
- Five to ten years of progressive accounting and finance experience supporting a complex non-profit that has multiple programs.
- Solid experience coordinating audit activities and managing reporting, budget development and analysis, accounts payable and receivable, general ledger, payroll, and accounting for investment.
- A track record in grants management as it relates to compliance and reporting of government, corporate and foundation grants is essential.
- Keen analytic, organization and problem solving skills which allows for strategic data interpretation versus. simple reporting
- Strong interpersonal and communication skills; experience in effectively communicating key data, including presentations to management, board or other outside partners.
- Personal qualities of integrity, credibility, and unwavering commitment to SBSS’s mission; a proactive, hands-on strategic thinker who will own, in partnership with the CEO, the responsibility for finance.
Job Types: Full-time, Part-time
Pay: $110,000.00 - $125,000.00 per year
