Contracts Administrator
Title: Contracts Administrator
Overview: The Contracts Administrator is responsible for all information and documentation on commercial landscape, irrigation and hardscapes projects including issuing and updating contracts, change orders, permits, drawings/plans, vendor and subcontractor invoices and owner/customer billings. Experience as a subcontractor to large GC’s a plus.
Reporting Structure: Reports to Project Manager
Key Accountabilities:
Pre-construction to buyout:
· Project files: Assemble and organize project files (digital or otherwise)
· Project set up in Procore construction management software
· Assist in coordinating and tracking submittals
· Prepare, issue and administer owner contracts, sub contracts and all related change orders
· Document and drawing management: Assist in organizing and keeping up to date documentation for project and vendor files.
· Permitting: Assist in permitting, gathering plans, completing applications, tracking status of permits.
Construction to close-out:
· Pay applications: Prepare and process owner or general contractor billings including AIA applications
· Permitting: update/renew throughout construction process as needed.
· Inspections: Track individual job progress and coordinate site inspections with Project Managers
· Lien releases:Assist with releases of lien under Florida lien law.
· Job Costs: Administer subcontractor and material invoices and ensure proper coding/recording.
· Engage with Project Managers to assist in purchasing/securing proper materials
· Construction Plans: Ensure Project Managers have most updated plans. Coordinate drawing revisions as needed.

Required Technical Knowledge:
· Ability to read blue prints/construction plans
· Document and drawing management, printing of plans
· Lien law as related to notices, releases, and satisfaction of documents
· General Computer Skills – Intermediate level
· Microsoft Excel – Intermediate level
· Microsoft Word – Basic level
· HubSpot CRM – Basic level
· ProCore CM Software – Intermediate level
· DocuSign – Intermediate level
· Landscape and Irrigation Knowledge – Intermediate level
Required Education and Experience
· High school diploma
· 4+ years related Construction Contract Management or Office Management experience
Job Type: Full-time
Pay: $42,500.00 - $50,000.00 per year
