Job Summary:
Consolidated Services is a specialized area within the Procure to Pay. The Program Coordinator is responsible for performing tasks specific to consolidated services such as: receiving, sorting, inventory, and delivery of incoming mail, supplies and equipment essential to faculty and staff. The Program Coordinator will serve as the primary operator for the district courier routes. This position is responsible for copy center functions to include but not limited to: assisting customers with orders, binding, copying and ordering supplies, demonstrating a high degree of customer service. The Program Coordinator is required to work independently and without direct supervision, demonstrating a high level of integrity.


Essential Functions

The Program Coordinator will be responsible for the following, but not limited to:

DISTRICT COURIER
Daily delivery of packages, supplies, mail, and equipment to all Pierce College sites, including but not limited to Puyallup and Joint Base Lewis McChord, any contractually negotiated courier locations, and local US Postal Offices for Certified, Express and regular mail deliveries.

COPY CENTER
Process copy orders from work order system; fulfill requests from customers on orders to include copying, folding, collating, stapling and hole punching copied materials. Correspond with customers about work orders vial phone or email. Assist or answer questions from walk-up customers (faculty and staff). Inventory needed materials; visually check stock on toner, staples and paper to maintain and ensure a smooth, uninterrupted operation. Contact vendor to request service and supplies. Maintain clean, organized work area; keep counters clean for work space; organize paper and bags on shelves.

RECEIVING
Receive shipments of goods and equipment delivered to the Receiving Department. Duties include loading and unloading trucks, moving boxes and equipment by hand and with materials handling equipment; inspect incoming shipment to verify condition, note any damage on bill and file damage claims, if needed. Process receiving paperwork documenting items received, verify all items against packing list and purchase order, noting any partial fulfillment or mistakes. Contact vendors for mistakes, shortages, or returns. Forward any return credit information or email to Accounts Payable and Purchasing. File completed purchase order paperwork. Coordinate with IT and Media department for the involvement for receipt of IT equipment, software or media equipment. Arrange for pickup or delivery to appropriate Campus departments.

MAILROOM
Distribute incoming mail, USPS and intercampus, into mailboxes. Sort outgoing USPS and intercampus mail into appropriate bins to for courier pickup. Ship packages through UPS/FedEx that have pre-paid labels, forward other outgoing packages for shipment via intercampus courier. Assign, label, and maintain mailboxes and tracking list for staff and department mailboxes. Answer questions from staff related to postal regulations, how to ship/receive packages, and any mail related topic. Notify staff and departments of received shipments by placing notices in their boxes and by phone or email, as needed.

EQUIPMENT INVENTORY
In accordance with current state and district property inventory procedures, tag and engrave incoming equipment, prepare paperwork so detailed information can be entered into the inventory system.

SURPLUS DISPOSAL
In accordance with state and district procedures, arrange for disposal of surplus equipment and materials; process needed paperwork to ensure disposed tagged equipment is removed from active inventory records.

OTHER DUTIES
Completion of other Procure to Pay tasks as assigned and serve as primary backup for staff coverage gaps.

Qualifications

Required Education

  • GED or High School Diploma
Special Requirements
  • In order to operate Pierce College motor pool vehicles, the successful candidate must meet the following conditions of employment: valid Washington State Driver’s license, proof of personal vehicle insurance, and pass a driver’s abstract review that includes a minimum of five years of driving experience.
  • Willingness and ability to pass a security check and criminal background records check to obtain passes to enter military installations.
  • Attend safety training related to driving and proper lifting techniques within the first three (3) months of employment.
  • Ability to drive a van.
Experience Required
  • One year of experience in a warehouse/receiving operation and/or one year of experience working in a print/copy center operation.
  • Computer Skills – Proficient in Microsoft Word, Excel, and Outlook software.

Required Knowledge Skills and Abilities
  • Knowledge and ability to use materials handling equipment and procedures necessary for transporting and safely loading/unloading heavy equipment.
  • Ability to lift and carry up to 60lbs and use equipment to push/pull pallets weighing up to 2500lbs
  • Ability to use Print Shop (copy center) work order systems.
  • Ability to receive and organize mail and packages for proper distribution.
  • Ability to maintain confidentiality and safeguard college property.
  • Strong organization skills; ability to organize work space to maximize efficiency.
  • Demonstrated ability to manage own time, priorities and resources to achieve goals.
  • Ability to interpret and explain applicable state and federal regulations.
  • Ability to manage change in a way that reduces the concern experienced by others. Remain calm under stress.

Terms of Employment:
This is a full-time (40 hours per week) classified, overtime-eligible position with Pierce College District, primarily located at the Fort Steilacoom campus in Lakewood, Washington. This position is permanent after serving a 6-month probationary period. Work hours are between 8:00 a.m. and 5:00 p.m. Monday through Friday.

Salary & Benefits:
The starting salary of this position is $3,401.00, dependent upon qualifications, with periodic increments up to $4,117.00 monthly. However, your paycheck is just part of the total compensation package. There is an outstanding benefits package which is worth an additional value equivalent to about 30% of your salary. Physical Work Environment:
Work is performed indoors as well as outdoors and travels between all Pierce College Campuses and sites. Some work is performed in an office setting and requires the ability to use a personal computer and/or stand for extended periods of time while distributing mail. Exposure to risks related to driving and handling of heavy and/or awkward items as well as exposure to all weather conditions. Frequent walking and sitting in order to drive and deliver packages and perform related courier and receiving duties.
