The Clinical Scheduler role at HANDS Center for Autism, LLC is a fast-paced position responsible for scheduling Behavior Therapists based on client and staff availability. The right candidate will thrive in a fast-paced environment, have a strong ability to prioritize tasks, have exceptional customer service skills, excel at phone and email conversations, and has experience in some type of scheduling capacity.

Schedule Availability

  • Monday - Friday working full-time at the administrative office between 9am - 5pm
  • Some remote work outside of office hours including weekends

Duties Include

  • Using scheduling software to schedule staff personnel in clinic and community settings
  • Maintaining client database of locations and contacts
  • Communicating schedule updates to families and staff in a timely manner
  • Fielding incoming communications (phone calls/text messages/emails) from families and staff for call outs and/or schedule updates
  • Manage scheduling of therapy services for all locations (clients & staff)
  • Discuss scheduling and availability with families and track their needs
  • Send out introduction emails once admission has been scheduled
  • Monthly outreach to clients/guardians to ensure most updated schedules are accurate
  • Reach out to clinicians regularly to see who needs more hours or has schedule change requests
  • Assist clinical staff with any scheduling issues or concerns (including data entry into Central Reach)
  • Build relationships with families and staff
  • Work closely with Administration, Clinical and Intake departments when it comes to issues that will affect scheduling
  • Must be ready, willing, and able to assist other staff members and/or families with their needs outside of your daily tasks including answering scheduling issues after hours or on weekends.
  • Maintain polite and professional communication via phone and e-mail


Skills and Qualifications

  • Previous scheduling experience and college degree preferred.
  • Working knowledge of Microsoft Office applications (e.g., Word, Excel, Outlook)
