The Clerk II- Rehabilitation Department performs complex (journey-level) administrative and technical program assistance work. Work involves disseminating information, maintaining filing systems, compiling statistical data, logging, and tracking issues and complaints, preparing, and editing correspondence, reports, studies, forms and documents, scheduling and coordinating meetings, managing and maintaining travel arrangements, maintaining records management systems, interpreting and responding to inquiries regarding administrative rules, regulations, policies and procedures, and receptionist work. Works under general supervision, with moderate latitude for the use of initiative and independent judgement.
Performs other duties as assigned. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
Responsible for distributing information, collecting statistical data, recording and tracking issues and complaints, assembles reports and studies, and interprets and responds to inquiries regarding administrative rules, regulations, policies and procedures for the Rehabilitation department. Provides fire and safety training within the department for all personnel and completes daily check of all AED within the department. Provides fire drills instructions and updates changes in policy and procedure manuals for new evacuation routes and any modification to these due to feedback from the fire marshals.
Performs office duties such as ordering supplies for the department, maintaining filing system to ensure proper record retention, scheduling and coordinating meetings and conferences, and assisting with general human resources work such as keeping track of staff's training delinquencies and tracking video requests for the Rehabilitation department. Compiles and sends our notices to all staff when training approaches delinquencies in order to keep all staff current with required training. Assists with client worker payroll.
Prepares, edits and distributes routine and formal correspondence, forms, and documents Prepares and compiles administrative and technical policies and procedures for the Rehabilitation department. Schedules interviews for all supervisor and completes, due diligence and letters of reference for new employees. Facilitates typing test by scheduling and giving scores to perspective supervisors. Completes morning reports for all units and staff members for daily charters and keeps database current with changes in admissions and discharge as well as adding referrals and transfers to classes.
Follows agency record retention schedule to ensure proper record management of electronic and manual program correspondence, personnel files, client documents, and other confidential documents. Develops, coordinates and maintains record keeping system; ensures records are properly destroyed
Prepares travel arrangements by completing required documents. Creates hotel flights and conference registration as well as setting up training for peer support, nonviolent crisis intervention, and Spanish interpretation training classes as well as any other training required for staff. Schedules reservations for gym and conference room. Active volunteer that assist with set up for department and organizational special events.

SALARY NOTE: The posted salary range reflects the minimum and maximum allowable by state law. Any employment offer is contingent upon available budgeted funds. The offered salary will be determined in accordance with budgetary limits and the requirements of HHSC Human Resources Manual Chapter 7.

Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours.

All these diseases are vaccine preventable. As a result, state hospital policy requires employees be vaccinated according to their level of contact with individuals.
