Position Summary Information

Job Description Summary
The home campus for this position is Lock Haven.

Provides clerical and office support within the College of Science and Technology to ensure its operations are conducted efficiently and effectively.

Essential Duties
  • Knowledge of accurate English grammar, spelling, and punctuation.
  • Knowledge of standard office procedures, practices, conduct and actions necessary in maintaining harmonious working relationships; and of the types, organization and use of standard office files, logs, forms and letter formats.
  • Skill in typing at a minimum speed rate of 40 words per minute and in the operation of various computers/software packages to produce finished copies of various typing assignments, including charts and diagrams.
  • Ability to perform within processing procedures that involve understanding multiple aspects and applying varied standards.
  • Ability to proofread information for conformance with a prescribed pattern or form, to assure adherence to clerical office methods, or for compliance with specific administrative or procedural rules.
  • Ability to transfer information and present it in a modified form according to rules and procedures.
  • Ability to collect and organize material for reports by determining what available information should be included and presenting the information in an appropriate format.
  • Ability to compose straightforward informational correspondence such as transmittals or acknowledgments in reply to requests or questions on the work process or related information.
  • Ability to perform basic arithmetic calculations such as the adding and subtracting of whole numbers and decimals; and multiplying and dividing by one-digit whole numbers or decimal multipliers and divisors.
  • Ability to instruct and advise clerical employees on the methods and procedures used in the work area.
  • Ability to organize work and develop effective work methods in an area that involves variable phases of different techniques and procedures.
  • Ability to make duty-oriented decisions on the basis of well-defined standards and precedents.
  • Ability to operate office and mail processing machines and instruct others on their use.
  • Ability to file and retrieve materials accurately.
  • Ability to organize and prioritize work, ensuring smooth processing and accomplishment of priority items on the schedule.

Specific Duties
  • Composes and types general correspondence such as documents, letters, agendas, reports, etc. Inputs data into computer records.
  • Composes correspondence in response to requests for information; assures that the response follows standard policies and procedures.
  • Maintains calendar, schedules, reschedules and cancels appointments and meetings.
  • Coordinates and schedules meetings with students, faculty and staff about student success, issues, and retention.
  • Compiles data and prepares summary and data tables (e.g., excel files) related to student enrollment numbers, course schedules, and student success-related information.
  • Run reports to verify student eligibility for independent study, individualized instruction, and internships
  • Examine/review forms, files, and documents received or sent by the office for completeness and accuracy.
  • Assist with Math placement testing activities and communications.
  • Processes travel forms and maintain appropriate records for faculty receiving grants, Faculty Professional Development Travel and Special Initiatives.
  • Assists with the preparation of travel expense vouchers and computing expenses.
  • Opens, sorts, date stamps, and distributes mail.
  • Responds to routine correspondence independently; route mail to appropriate department staff.
  • Assists with arrangements necessary for various college activities such as Student Research Day, New Student Orientation, New Faculty Meet and Greet, advisory board meetings, Pathways in Science, and college-wide meetings. These activities include preparing and distributing invitations and agendas, scheduling rooms, coordinating food, travel, lodging and special arrangements, and ordering equipment and other needed items for meetings and conferences.
  • Provides support for all COST Committees (meeting scheduling, communication with faculty/staff, compiling documents, minutes, meeting setup, material distribution)
  • Assists with Search and Screen activities such as scheduling meetings and ensuring that necessary files and documents are available and in order.
  • Facilitate COST donor recognition, review and retain monthly foundation reports, send thank you correspondence to donors and keep department chairpersons informed of giving.
  • Maintains the electronic Dean’s Office Departmental Drive.
  • Processes documents or information by receiving, recording and verifying information, comparing with established criteria or standards, and inputting data into computer records.
  • Organizes materials and sets up format and layout for printing booklets, pamphlets, etc.
  • Maintains inventory and orders office supplies; inputs purchase orders and monitors outstanding orders; performs a variety of mainframe transactions and functions.
  • Oversees work performed by work-study students, works with the Financial Aid Office for assistance in hiring students, interviews and trains work-study students and assigns work.
  • Greets visitors and directs them to proper office locations, screens and routes telephone calls.

Minimum Qualifications (Required Knowledge, Skills and Abilities)
Six months of experience as a Clerical Assistant 1;
OR
graduation from high school;
OR
any combination of equivalent experience and training.

This position requires keyboarding skills to meet standards for speed and accuracy.

  • Employment is conditional, pending successful completion of the background clearances mandated by Act 153 of 2014 and Board of Governors Policy 2014-01-A: Protection of Minors. In order to qualify for a provisional appointment, the Applicant Acknowledgement Consent Form, Provisional Hire Form, Pennsylvania State Police and Justifacts portion of the clearance process must be successfully completed prior to your start date. The remaining PA Child Abuse History Clearance and FBI Clearance must be successfully completed and returned as soon as possible within the first 90 days of employment.

Background Clearances

In accordance with Act 153 of 2014 (HB 435), appointment is contingent upon completion of a satisfactory background investigation which includes, but is not limited to, Act 34, Pennsylvania Criminal Record Clearance; Act 151, Child Abuse Clearance; and Act 114, Federal Bureau of Investigations (FBI) Criminal Background Checks.

Appointment is provisional provided the “Arrest/Conviction Report and Certification Form” and verification of your three background checks are returned to the Human Resource office prior to your hire date.
