JOB SUMMARY:
The Claims Administrator is responsible for assisting the Claims Department in reviewing, preparing, processing and updating complaints that are in process, either by the Claims Department and/or the manufacturer. The Claims Administrator ensures that the complaint for the claim review process is properly submitted per the SOP Guidelines. This position will partner with EJ Welch Territory Managers, Account Directors, Branch Managers, Branch Directors and with Regional Vice-Presidents as well as other senior level management, when requested, regarding complaints in the claims EJ Welch and/or manufacturer's review process.
RESPONSIBILITIES:
· Review incoming complaint submittals to confirm if the submittal is in compliance with the EJW Claims SOP Guidelines.
· If the complaint submittal is not compliant with the Claims SOP, the Claims Administrator will help guide the Account Manager in submitting the complaint in accordance with the Claims Department SOP Guidelines.
· Assist the Claims Manager, when needed, in entering complaints into the Prioritizer claims section to issue an EJ W claim number in preparation for submitting the complaint to the manufacturer to request a claim review.o process into Prioritizer, issue an EJ Welch claim number and submit to the appropriate manufacturer with a request for a claim review.
· Monitor the Prioritizer Claims Section and partner with the Claims Department when the most recent updated information is needed.
· Update any claims under review once the Claims Department reviews and approves the updates.
· Assist the Claims Manager, when needed, in entering complaints into the Prioritizer claims section to issue an EJ Welch claim number in preparation for submitting the complaint to the manufacturer to request a claim review.
· Research any needed invoices to include Original Dealer purchase invoice(s), EJ Welch to Manufacturer purchase order numbers and/ or invoices and email to Claims Manager when requested.
· Begin the dealer credit process and submit to the appropriate department for processing.
· Assist the Claims Department, when needed, in closing out complaints under review, at the point when a conclusion has been determined.
· Demonstrate high degree of professionalism in communication, attitude and teamwork with clients, employees, corporate partners and vendors.
· Demonstrate high level of quality of work, attendance and appearance.
· Adhere to local, state and federal employment laws.
· Ability to be flexible and willing to work extended hours when necessary.
· Take Claims Department calls and when it is a dealer direct, gather all available information. Once the information has been gathered, will be responsible for providing the information to the appropriate EJ Welch associates, including the EJ Welch Claims Department.
· Assist the Claims Manager in running and providing, if requested, Prioritizer claim reports from various EJ Welch associates throughout the complaint process and including EOM and/ or EOY reports when requested.
· Pull Dealer and EJ Welch purchase invoices from Eclipse which are required throughout the complaint review process.
· Submit and/ or process dealer account credits; pull and email to the Claims dealer account credit memos for review. Email, once approved, dealer account credit memos to the appropriate EJW Associate.
MINIMUM REQUIREMENTS:
· Minimum 1-5 years Customer Service experience
· Basic computer knowledge (Outlook preferred)
· Basic working knowledge of Word
· Basic working knowledge of Excel
· Ability to learn Eclipse ERP System
PHYSICAL DEMANDS:
· Must Be Able to Lift Up To 30-40 lbs.
· Arrange pick-up and delivery of any available product samples attached to complaints under review, when requested by the Claims Department.
· Assist in keeping track of all samples used by the Claims Department that have been provided, when reviewing claimed products.
