Billingual Chinese Executive Assistant (Remote)
Job description
The Assistant will support the Founder with all personal and administrative needs.
We're looking for an assistant for various administrative and personal tasks. You will be working with all departments to manage the Founder/CEO’s daily schedule, personal tasks, and other administrative tasks. This is a full-time position and the assistant must locate in Los Angeles.
This assistant must be available remotely when the executive is traveling or have schedules on the weekends. There will be times when you will be required to work overtime as you will be scheduling meetings that include international partners/clients in various time zones. This position is required to come into the office (West Hollywood) to receive packages and assist the Executive as needed.
Our office uses Notion, Hubspot, Slack, Google Suite, and Airtable. Knowledge of all applications or the ability to quickly learn new tech platforms is a must.
The work will include the following:
- Schedule and organize meetings/calls using multiple communication channels
- Maintain and update the executive's calendar throughout the day when constant changes occur
- Track and remind calls/meetings on a daily basis
- Reserve and update hotel, restaurant, flight, and event reservations
- Manage, coordinate, and organize events for the executive according to needs
- Manage, coordinate, and prepare materials for public events and conferences
- Respond to a heavy volume of emails in a timely manner
- Help with the executive's personal tasks according to need
- Conduct or prepare any research that the reporting manager may require
- Various ad hoc requests
Requirements:
- College degree required
- Minimum 2 years of administrative/office experience
- Strong knowledge of Google Docs/Google Suite and Google Calendar - Valid Driver's License

- Candidate should be smart, motivated, personable, detail-oriented - Must be able to work in an extremely fast-paced environment.
- Must be able to handle multiple tasks simultaneously

- Fluent in Chinese
