The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
Reporting to the Assistant Vice President for Sponsored Projects Administration, the Contracts Associate (Associate) for Sponsored Projects Administration (SPA) provides critical support to the SPA Contract Negotiators at both the Morningside campus and Columbia University Irving Medical Center in expediting sponsored project agreement preparation and the management of the contracting process from intake to execution of such agreements. The Associate will work closely with researchers, departmental administrators and other staff, the SPA Contract Negotiators and Project Officers and the other University offices that are involved in sponsored project contracting, such as the Office of the General Counsel (OGC) and the Finance Division of the University, over the course of contract preparation and negotiation. The Associate will therefore have a key role in assisting the research community by ensuring that the overall contracting process is carried out as smoothly and expeditiously as possible.
Responsibilities
Communicating with researchers and departmental administrators about University policies and procedures relating to the SPA contracts review process;
Managing the SPA contracts team listserv, fielding departmental queries, and responding to such queries or redirecting them to the appropriate staff;
Managing the SPA contracts intake process, including working with researchers to ensure that the necessary elements of the sponsored project transaction are communicated to the Contract Negotiators;
Participating in meetings of SPA and other University personnel to understand the various offices that will be involved in the contracting process and establishing whom in each office will liaise with the Associate;
Maintaining and monitoring contract tracking tools to keep projects on schedule; communicating updates to stakeholders and documenting tasks;
Assisting with researching and compiling relevant information needed for the contract review and negotiation;
Being a resource for information relating to specialized funding opportunities and sponsor requirements;
Preparing simple agreements, documents and correspondence under the supervision of the Contract Negotiators;
Facilitating communication within the SPA contracts team and between such team and other University offices; and
Performing other tasks as assigned.
Minimum Qualifications
Bachelor's degree and/or equivalent related experience required and
3 - 5 years related experience.
Preferred Qualifications
Working knowledge of academia and University research are pluses.

Experience with reviewing contracts and ability to summarize terms and compare drafts;
Excellent interpersonal and customer service skills;
Ability to take notes and prepare basic summaries of meeting discussions;

Ability to function well in a fast paced and sometimes stressful work environment;
Ability to maintain confidentiality and to exercise discretion and good judgment; and
Proficiency with Microsoft Office Suite or related software.
