Job Description

The Assistant Registrar is responsible for overseeing the daily activities as they relate to the semester class scheduling processes, ad hoc room scheduling for centralized rooms, scheduling final exams, maintaining the academic calendar in Pathway (PeopleSoft), and serve as the functional lead for the software used to manage room scheduling which include Ad Astra and CourseLeaf CLSS. The Assistant Registrar will manage one staff member that assists room schedule processes. This position will report to the Registrar and works closely with the leadership team in the Office of the Registrar to troubleshoot and problem solve complex issues. This position works closely with faculty and staff in the various Academic Units to train and provide information related to scheduling processes and procedures. This position is key support to UMKC’s overall goals for student retention and graduation by working with the Academic Units to provide a student centered schedule of classes.

  • Functional administrator responsible for system troubleshooting, security, system upgrades, and training for end users on the following software:
    • CourseLeaf CLSS used to create and edit class schedules by the academic units. Assistant Registrar and Scheduling Coordinator review what is submitted for accuracy, efficiencies, compliance with catalog policies and facilities restrictions such as fire code
    • Ad Astra room scheduling software used to optimize and schedule centrally scheduled rooms. Used to schedule ad hoc meetings within centrally scheduled rooms. Assist academic unit liaisons that utilize the software to schedule their space including Conference and Events, School of Science and Engineering, Conservatory, School of Humanities and Social Sciences, etc.
  • Maintain and create the Academic Calendar
    • Pathway setup of the Academic Calendar and Term session table;
    • Managing the Academic Calendar on LiveWhale (University Calendar software) and all related pages on the Registrar website;
  • Manages the semester class scheduling process, which includes (but not limited to) roll like terms, communication to schedules, assigning classrooms, and making schedules live;
  • Manage the process to schedule final exams including communications with academic unit schedulers;
  • Manage the Course Sharing process for UMKC. Work with UM System and contacts at the other UM campuses to ensure accuracy for published courses associated with this program;
  • Oversight of 4 CourseLeaf queues: Registrar, PeopleSoft, Registrar Scheduling, and Campus Solutions that require data entry into Pathway for new or edited courses, enrollment restrictions;
  • Assists with scheduling edits; builds course pre-req checks in Pathway; maintains the Pathway course catalog;
  • Assigns and moves centrally scheduled classrooms; room requests for centrally scheduled rooms for RooGroups, department meetings, etc.;
  • Handles centrally scheduled room requests for outside groups and works with the Contracts Office;
  • Checks personal and registrarscheduling@umkc.edu email;
  • Supervise Scheduling Coordinator
  • Point of contact for external partners as it relates to scheduling including campus police, CFM, IS for classroom updates, and MyVita;
  • Implement and maintain the Post Enrollment Requirement Check (PERC) in PeopleSoft;
  • Back-up for end of term grade processing and troubleshooting

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary

Salary

Up to $56,000 anually, commensurate with experience, education, and internal equity
