Administrative Assistant/Scheduler
Job description
We have an immediate opening for a full-time Administrative Assistant/Scheduler in our growing practice. This Administrative Assistant will take the lead in scheduling the advisors’ calendars and provide support to the staff of an independent advisor franchise of Ameriprise Financial.
Responsibilities include:
Schedule for Advisors using Customer Relationship Management (CRM) system, experience with Salesforce a plus
Complete ownership of Advisors' robust and ever-changing calendar
Use practice technologies and document client interactions in company CRM
Prepare and submit various forms and applications
Review and update client information as needed for client review meetings
Scanning client documents and other duties as needed

Qualifications:
- Discretion and the ability to maintain a professional attitude and appearance at all times
- Effective communication with clients and other advisors/staff
- Proficient in Microsoft Outlook, Excel, Word, Teams and have strong computer skills
- Direct attention to detail and organization
- Experience in using Customer Relationship Management (CRM) systems
- Ability to pivot between multiple tasks in a fast-paced environment
- Excellent sense of ownership
- Ability to operate general office equipment, including printers, copiers, fax machines, scanners, postage machine, etc.
- Positive attitude and sincere willingness to constantly learn and grow
- Minimum Education – Bachelor’s Degree
- Fully Vaccinated
- 2 years work experience preferred
This position is full-time, Monday to Friday 8:30 am to 5:30 am. Our office is located near The Commons in Calabasas. Remote work possible after introductory period.
Job Type: Full-time
Pay: $20.00 - $29.00 per hour
