Position Summary:
The Administrative Assistant will support the leadership team and keep systems and processes up to date and streamlined. Reporting to the Chief of Staff, you will focus on organization of team retreats, conferences, on-boarding and off-boarding of team mates, as well as maintenance of documentation and general organization for the team.
Essential Duties and Responsibilities:
- You will manage Executive calendars
- You will assist the Head of Talent and Chief of Staff with on-boarding and off-boarding procedures
- You will check our mail (electronically) and follow up with any actions items
- You will organize and maintain the shared drive
- You will help the team implement and transition to new systems
- You will maintain documentation and, eventually, historical knowledge
- You will organize in-person team off-sites and regular team activities
- You will take care of external logistics for Conferences
- There will be some one off admin tasks as they come up
Projects you might work on include:
- Onboarding new team members to internal systems
- Making sure all the appropriate documentation is filled out
- Laptop management
- Tracking system renewal dates to manage decisions and payments
- Reviewing internal docs like onboarding to make sure the processes and procedures are up to do
- Managing our conference booth build out and helping to order and track items
Required Qualifications:
- Solid G suite and calendar management skills
- System implementation and maintenance experience
- Experience with HR systems (Rippling, Lattice, Greenhouse, Culture HQ preferred)
Knowledge, Skills, and Abilities:
- Excellent team collaboration and "internal customer " service experience
- Integrity and sensitivity to confidential information
- Active listener, understanding, asking questions as appropriate to define and resolve problems or complete projects
Benefits: Comprehensive benefits include medical, dental, vision, 401K with match, options, and other voluntary benefits offerings
Base compensation range: $60-80K depending upon skills and experience
