Administrative Assistant Job Description
General Purpose
The Administrative Assistant acts as the administrative point of contact between the executives and internal/external clients, handles executives’ requests and queries appropriately. The Administrative Assistant reports to the Base Operations Manager on a daily basis. Responsibilities require advanced level of MS Office (Word, Excel, Outlook and Power Point), internet research skills, customer service, organization and project management skills.
Main Job Tasks and Responsibilities:
- Act as a point of contact between the executives and internal/external clients.
- Undertake the tasks of receiving calls, taking messages and routing correspondence.
- Handle request and queries appropriately.
- Complete daily tasks as assigned by executives.
- Maintain schedule, arrange meetings and appointments. Must also provide reminders.
- Make travel arrangements if required.
- Monitor office supplies and submit supply requests to Operations Manager as needed.
- Produce reports, presentations and briefs.
- Develop and carry out an efficient documentation and filing system.
- Always maintain confidentiality.
- Pro-actively communicate with Management staff to help with time-sensitive projects.
- Serve as a back up for other departments within the company to include: Billing, Human Resources and Dispatch.
- Schedule employment candidate interviews.
- Schedule and conduct new hire orientations.
- Assist with assignment and tracking of equipment for transporters.
- Accurately enter data as requested for time and attendance issues.
- Always conducts self in a professional manner; maintains appropriate professional appearance.
- Demonstrates the ability to work effectively with others.
- Participates in meetings or events as needed.
- Evaluates own performance and assumes responsibility for professional development.
- Follows and supports company policies and procedures.
- Complete an End of Shift report every day and submit to Operations Manager via email.
- Maintain control of company issued cell phone at all times, ensuring calls are answered.
Knowledge, Skills & Abilities:
- Associates Degree or equivalent combination of training and relevant work experience.
- Interpersonal, organizational, time management and leadership skills.
- Creativity and self-initiative
- An ongoing commitment to training in both areas of soft skills and technical skills.
- Accuracy and attention to detail.
- Excellent verbal and written communication skills.
- Proven computer and software use skills, especially MS Office.
- Experience in handling confidential information and maintaining confidentiality of all information.
Job Type: Full-time
Salary: $18.00 - $20.00 per hour
