Summary/Objective – Administrative Assistant

Administrative Assistant duties and responsibilities include providing administrative support to ensure efficient operation of the office. Responsible for confidential and time sensitive material.

Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner.

This specific role will primarily be administrative support for our Safety department, but assistance with other departments may be needed, on occasion.

Essential Functions

1) Weekly, Monthly, and Annual reporting for Safety department
2) Assist with reporting related to company incentive program
3) Assist with Safety PowerPoint training materials
4) Assist with Verizon Connect management
5) Assist with OnStar management for company fleet
6) Scan invoices/statements
7) Corporate Expense Reports
8) Prepare mailings for weekly check run
9) Make bank deposits, as needed
10) Filing of checks on the internal server

Summary/Objective – Front Desk Receptionist

Responsible for handling front office reception and administration duties, including greeting guests and offering them a beverage, answering phones, handling company inquiries, and sorting and distributing mail.

Essential Functions

  • Answer phones; Route calls to specific people.
  • Answer inquiries about company.
  • Greet visitors warmly and make sure they are comfortable.
  • Call persons waiting for visitor to inform them that their visitor has arrived
  • Ensure reception area is tidy.
  • Coordinate mail flow in and out of office.
  • Send email and faxes.
  • Collect and distribute parcels and other mail.
  • Perform basic bookkeeping, filing, and clerical duties.
  • Take and relay messages.
  • Stock break room with selected drinks, snacks, and other essential products; this includes picking up supplied from the store
  • Stock copy/printer room with essential supplies
  • Manage building management requests and key cards

Competencies

3) Spreadsheet preparation and tracking skills.
4) Organizational skills

This is a full-time position. Days and hours of work are Monday through Friday, 8:00am -5:00p.m.

Pay: $16.00 - $18.00 per hour
