We are looking for a positive, organized individual with customer service experience.

Under general supervision, the purpose of the job is to perform a variety of office support and/or administrative duties for the Public Works and Utilities Departments. Administrative Assistant will performs both routine and non-routine administrative support duties as dictated by the nature of the work area.

Main Responsibilities:

  • Performs duties of a staff assistant nature and participates directly in the work of the individual(s) supported. Secure details of specialized information, coordinating office work and providing information regarding the services and operation of the unit. Function as building and inspections receptionist.
  • Receives and processes standard materials appropriate to assign departments including correspondence, memos, agendas, minutes, charts, permits, legal documents, orders, requisitions, ordinances, reports and manuals.
  • Keeps appointment calendars and schedules appointments. Receives and screens calls and refers callers to appropriate divisions or staff. Take notes and minutes of conferences, meetings and functions as required.
  • Conduct standard, routine bookkeeping and interacts with department business analyst
  • Handles a wide variety of typing assignments which may be confidential in nature; operates a computer to enter data, draft, edit, revise, and print letters, tables, reports and other materials.
  • Establishes, maintains, process and updates files, records, certificates, and/or other documents. Orders, stock, and distributes office supplies.
  • Resolves routine administrative problems and answers inquiries concerning activities and operations of department/decision; accepts, screens and routes telephone calls; maintains log of inquiries as required.
  • Arranges meetings and conference, schedules meetings and appointments, and performs other duties related to maintaining one o more individual schedules.
  • Regular in-person attendance, since face-to-face interaction and coordination of work with other employees, outside colleagues, resident or vendors and all immediate access to documents or other information located only in the workplace in required.
  • Other duties as may be assigned.

Minimum Requirements:

KNOWLEDGE, SKILLS AND ABILITIES:

1. Knowledge of business English, spelling and punctuation, in order to prepare documents and compose letters, etc.

2. Knowledge of office practices and procedures.

3. Knowledge of business mathematics.

4. Knowledge of the Department and City's policies, procedures and practices.

5. Ability to establish and maintain effective working relationships with employees and the public.

6. Ability to type from dictaphone (if required) or in taking dictation.

7. Ability to access input and retrieve information from a computer.

8. Ability to communicate using speaking, hearing and visual skills.

9. Skill in the operation of a PC, Scanner,and Fax

10. Skilled in Microsoft Outlook and Excel

11. Skill in the use of taking dictation or of transcription from a dictaphone (if required).

EDUCATION AND EXPERIENCE:

High school diploma or GED supplemented by specialized courses/training equivalent to completion of one year of college in secretarial support, office administration or closely related field.

Requires two (2) years progressively responsible experience in general administrative support functions, which provides broad exposures and practical application of current office systems technology and associated software support systems; or equivalent combination of education, training, and experience.

(A comparable amount of training, education or experience can be substituted for the minimum qualifications.)

ESSENTIAL PHYSICAL SKILLS:
- Acceptable eyesight (with or without correction)
- Acceptable hearing (with or without hearing aid)
- Types at 55 words per minute
- Ability to access, input and retrieve information from a computer.
- Ability to access file cabinets for filing and retrieval of data.
- Ability to sit at a desk and view a display screen for extended periods of time.
- Ability to communicate both orally and in writing.

Licenses, Certifications, or Registrations:

Valid Driver’s License

Working Hours and Environment:

Works inside in an office environment
