BACA is looking for an Administrative Assistant to join the operations team. This person will join an empathetic and team-oriented group that looks to support our patients and clinicians with an eye for detail and problem solving ability.

Purpose: Fulfill administrative duties for the clinic and other programs as assigned.

Essential Functions:

  • Demonstrate professional and respectful rapport when interacting with patients, family members, co-workers, vendors, and other clinical staff
  • Maintain organization and cleanliness within the office
  • Monitor and supply inventory needs.
  • Supports administrative team with conducting administrative duties including but not limited to: monitoring ARFs, scheduling, appointment check ins, collecting co-payments and paperwork, financial counseling and responding to needs of patients and clinicians.
  • Clerical duties including copying, mailing, faxing, scanning, and sorting documentation
  • Working with electronic systems including Bay Area Clinical Associate’s electronic health records (EMR/EHR) system, Office Ally, SecureBill Pay and Google (Gmail, Gcal, Google Drive).
  • Articulate and operationalize BACA’s vision, mission and values on a daily basis and incorporate the organizational values into everyday decision-making
  • Additional tasks as assigned from time to time by BACA leadership.

Minimum Qualifications:

  • High school diploma
  • Ability to maintain confidentiality and comply with HIPAA standards and BACA policies and procedures
  • Employee must reside in California
  • Onsite M-Th, 9-6pm and Fri 8-5p
  • Be flexible and adaptable to organizational and program changes
  • Effectively communicate in written and verbal form with staff and patients
  • Must have strong computer skills; experience with Google Drive and Google Suite a huge plus
  • Ability to manage multiple projects and meet deadlines
  • Ability to maintain courteous and respectful customer service in highly charged emotional conversations
  • Excellent work ethic, strong sense of responsibility, ability to problem-solve, be flexible with day-to-day job duty changes, and acute attention to detail
  • Ability to clearly summarize pertinent clinical information via written correspondence and medical record documentation in a timely manner

Preferred Qualifications:

  • Spanish (written and verbal)
  • Associate’s or Bachelor's degree
  • 1-2 years’ experience in healthcare setting
