JOB DESCRIPTION


PART I

Position Title: Admin

Department: Operations

Location: Airports/Highways

Reports To: General Manager

Status: Exempt

Class: Full Time


PART II

Broad Functions:

General administrative assistance to the General Manager. Responsible for payroll tasks, as assigned by the GM and/or AGM. Prepare reports, memoranda and word processing, compose letters and routine correspondence as needed. Responsible for reception including signing for front office packages. Responsible for sorting and distributing mail. Handle phones and messages for GM. Payroll and Cash Room related tasks for the location.


PART III

Main Duties and Responsibilities:

  • Responds to questions as they relate to policies and procedures and ensures necessary follow-up.
  • Provides administrative support to managers, and/or department heads.
  • Assists in the planning, research, development, and implementation of programs and specials projects.
  • Assists with HR related tasks for the location: I-9s, background checks, VOEs, orientation, onboarding, etc.
  • Assists General Manager with any scheduling needs and payroll related tasks.
  • Creates, types, formats and proofreads materials such as documents, forms, vouchers, materials and correct grammatical, punctuation and spelling errors.
  • Compiles, generates records or recurring reports, office activity reports or statement reconciliations as needed.
  • Performs other related duties as assigned.


PART IV

Skills and Qualifications:

  • Minimum of an Associate degree or High School diploma with the equivalent experience. Secretarial schooling will be considered.
  • 3+ years general administrative assistant background.
  • Strong knowledge of MS Office Suite (Word, Excel, Power point).
  • Must be able to interact and communicate with individuals at all levels of the company.
  • Excellent spelling and grammar, good phone skills, organized, sets priorities, meets deadlines, able to multi-task and, carefully proofs own work.
