Summary

The division of Pulmonary and Critical Care is seeking an Administrative Assistant Associate Healthcare to provide support to the asthma and COPD research teams.

This appointment is 40 hours per week with a hybrid work environment. Employees must be on site at least one day per week; other days as needed. There is dedicated workspace in Ann Arbor should the candidate prefer to be office-based.

Responsibilities*

Key responsibilities include:

Serve as the primary contact point for administrative tasks including:

  • Scheduling meetings, preparing agendas and minutes;
  • Disseminating materials for review and collating responses;
  • Assisting with preparation of various documents;
  • Tracking inventory of computers and related equipment;
  • Ordering supplies, computers, keys etc.;
  • Maintaining emergency contact list for fanout notification;
  • Assisting with onboarding new staff;
  • Maintaining a current knowledge of emergency and safety procedures and educating staff.
  • Assist with booking travel
  • Assist with managing expenses related to hosting, supplies etc.
  • Other duties as assigned by the supervisor

Under supervision, assist with simple research tasks assigned by the supervisor(s), examples include but are not limited to: scheduling research patients and rooms for study visits; managing inventory of research sample kits; calling patients to confirm research visits, simple data entry etc.

Manage tracking of asthma team’s use of professional development funds; assist with booking conferences and travel arrangements for professional development

Required Qualifications*

  • High School Education plus 0-2 years’ experience as an administrative assistant in positions of increasing responsibility/complexity
  • Demonstrated organizational, interpersonal, oral and written communication skills with strong attention to detail
  • Experience in the use of work productivity tools, such as Outlook, Word, Excel, PowerPoint, etc.
  • MiChart scheduling experience is a must
  • Ability to multi-task and flex with changing priorities
  • Ability to self-direct and exercise independent judgement

Desired Qualifications*

  • Experience as a Medical Assistant or Patient Services Assistant
  • Knowledge of University policies and procedures
  • Experience with document sharing/editing tools (Google Docs, DropBox)
  • Experience working with survey administration tools, such as Qualtrics, Survey Monkey, Doodle Poll, etc.
  • Experience working with Procurement

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
