POSITION SUMMARY

Athens Administrators has an immediate need for an experienced, detail and process-oriented yet strategic and analytical, highly motivated Accounting Manager to support our privately-owned and operated business. The position will work onsite from the corporate office on Stanwell Drive in Concord, CA. Athens offices are open for business Monday-Friday from 7:30 a.m. to 5:30 p.m. local time. A hybrid schedule may be considered.
Under direction of the Controller, the Accounting Manager is responsible for maintaining the general ledger accounts, with a strong focus on treasury functions, management of the Client Accounting team and client escrow-funds account management, month-end close, and corporate accounting, among other responsibilities. This includes identifying areas in need of process improvements in the day-to-day activities related to client accounting and general ledger reconciliations.
This position will manage and mentor the accounting specialists who manage the daily transactions in and reconciliations of 250+ client escrow-funds bank accounts, held in 10+ separate banks. PRIMARY RESPONSIBILITIES

Our new hire should have the skills, ability, and judgment to perform the following essential job duties and responsibilities with or without reasonable accommodation. Additional duties may be assigned:
  • Banking:
    • Perform treasury functions including opening new client escrow-funds bank account and coordinating with bank personnel and the IT team to set up the proper online services
    • Perform banking transactions (i.e., transfer of funds) for all corporate and client funds
    • Monitor cash balances – corporate and client-funds (250+ accounts)
    • Oversee Positive Pay and banking fraud investigations/recoveries
  • Client-funds Accounting:
    • Manage onboarding for all new clients in coordination with the Controller
    • Manage the team responsible for the daily, monthly, quarterly processes, monthly client bank account reconciliations and client reporting.
    • Manage/prepare the Excess Claims Volume analysis and billing process
    • Resolve escalated client, client accounting and claims payment issues; assist staff with troubleshooting
    • Mentor Supervisors and Leads and share knowledge to continue the professional development of staff
  • Month-end close:
    • Reconcile Balance Sheets accounts
    • Review monthly billing done by Staff Accountant
    • Prepare/post journal entries required for month end close - standard and recurring je’s for intercompany transactions, allocations, prepaids, accruals, etc. and unusual or one-off entries
    • Review PTO and Salary accruals prepared by Senior Payroll Specialist
    • Manage month-end close process, ensuring the timely closing of the books (target close by Day 5)
    • Run monthly financial statements for review and analysis by Controller and CFO
  • Corporate Accounting:
    • Support AP and AR staff and functions; ensuring that accounts payable, customer billings, collections, and cash applications are processed accurately and executed timely
    • Oversee TIN matching process and 1099 preparation
    • Oversee Fixed Assets and depreciation for both book and tax
  • Audits and Taxes:
    • Assist Controller with the preparation of workpapers supporting the annual tax return
    • Prepare business licenses, sales taxes, and property taxes for timely and accurate filing
    • Assist Controller with preparation of year-end review workpapers and take part in external CPA firm’s reviews
  • Other
  • Recommend and assist in the design and implementation of department policies and procedures
  • Manage corporate credit card administration – set up new card services and approval hierarchies
  • Assist with annual corporate insurance renewals
  • Manage software licenses (GP, 1099 Express, etc.)
  • Stay current with latest technology, evaluate with management, and implement on a timely basis.
  • Communicate and notify Controller and CFO to issues that occur while executing responsibilities; offer corrective actions to cure and implement preventative measures for the future
  • Perform other duties and responsibilities as assigned

Supervisory Responsibilities
Supervising, scheduling, assigning, monitoring, and evaluating work of assigned staff. Building trusting and effective relationships with direct reports while fostering growth and retention. Will set goals, conduct performance reviews, train, cross-train, and develop team. Direct training and conduct regular team meetings to keep team informed and educated. Actively develop, coach, discipline, and counsel direct reports. Encourage regular communication, support, and camaraderie. Act as a role model of the Athens Core Values and fostering our caring family culture. The exact number of direct and indirect reports is subject to change.
  • Directly manage 7 staff (Client Accounting Supervisor, Leads, and Specialists)
  • Indirectly manage 5 Client Accounting Specialists

ESSENTIAL POSITION REQUIREMENTS

Education and professional designations
  • Bachelor’s Degree or professional designation in Accounting or Finance required
  • MBA in Business, Finance, or relevant field (preferred)
  • CPA or CMA designations (preferred)
Experience and requirements
  • Minimum 6 years financial/accounting experience inclusive of:
    • 3 years in a Accounting Manager role
    • 3 years in general and project accounting that includes responsibility for a full-cycle financial close
  • Insurance accounting (preferred)
  • Third Party Administrator (TPA) experience (preferred)
  • Strong understanding of GAAP principles, accounting concepts, legal and tax requirements, and financial management and reporting best practices
  • Advanced skills in Microsoft Office Suite products, including Excel, Word, Outlook, etc.)
    • Advanced ability in Great Plains accounting software (highly desirable)
    • Advanced ability in SharePoint (highly desirable)
    • Ability to learn additional computer programs
    • Ability to type quickly, accurately and for prolonged period
  • Experience with privately-owned or family-run business (a plus)
