General Summary
Works independently and/or with management and associates. Works aggressively to maintain warehouse and inventory within the guidelines and boundaries of this department.

The Facilities Warehouse Clerk’s position is vital in order to maintain inventory par levels by ordering, verifying and delivering parts and equipment to various areas throughout the Facilities Department.

Essential Duties and Responsibilities

  • Prepares requests for quotes and faxes them out to the appropriate vendors.
  • Checks and puts away parts/materials/tools delivered by the Dock personnel during the off-shifts.
  • Enters inventory parts into Manager Plus (Inventory System).
  • Uses Requisitions when issuing parts/materials/tools to Engineers.
  • Organizes Tool Room.
  • Organizes and maintains: *Screws and Fasteners bins, *Plumbing aisle, *Kitchen aisle, *Electrical aisle, *Safety aisle, *Air Conditioning (HVAC) aisle, *Light bulb aisle, *Tile aisle and *Miscellaneous aisle.
  • Maintains flammable cabinets contents:
    o Ensures correct MSDS labels on all products. Properly disposes of any non-permitted product.
    o Places MSDS labels on outside of cabinets to indicate contents.
    o Updates MSDS information for old and new products in database as needed.
  • Researches and finds extraordinary parts as needed on catalogs and/or internet. Reports findings to Coordinator.
  • Receives parts, materials, tools and amenities (coffee, creamers, water, etc.) from the Loading Dock. Verifies correct items and quantities. Signs off on receipts. Reports to coordinators. Records transactions in Manager Plus. Places items in Warehouse or issues them to the appropriate Engineer.
  • Inputs data on all equipment as requested and indicated by management. The equipment will include (but it is not limited to): Kitchen appliances, chillers, pumps, boilers, air handlers, cooling towers, motors, refrigerators, ice machines, re-heat CB boxes, exhaust fans, water softeners, compressors, glass washers, dish machines, coolers, warmers, burners, walk-ins, etc.
  • Maintains records on preventive maintenance for the equipment mentioned above.
  • Reviews and modifies the inventory par level sheets at the end of each month to ensure that each area’s par levels are maintained.
  • Brings materials/equipment to the Facilities Department from the Loading Dock when a Facilities supervisor/manager deems it necessary (as in situations when there is an increased business level at the Loading Dock).
  • Maintains Warehouse in a clean and organized manner at all times.
  • Maintains Facilities common shop areas to be clean and organized. This includes taking the trash cart(s) out to the compactor area.
  • Drives company vehicle regularly in order to get materials/equipment as requested by supervisor/manager.
  • Perform any other duties as assigned by management.
  • Provide outstanding guest service to all internal and external guests

Job Specifications – Qualifications

  • Ability to read, write, speak and understand the English language.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
  • Ability to read and interpret documents that directly affect the ordering, receiving and distribution of parts and equipment.
  • Basic mathematical skills.
  • Computer knowledge to include: The ability to create/operate/modify Excel spreadsheets and basic knowledge of Outlook e-mail system. Applicant will need to learn Manager Plus software.
  • Need to distinguish between shades of color.
  • Ability to operate radio equipment and to communicate using them.
  • Knowledge of telephone, fax, copier and similar office equipment.
  • Ability to drive motor vehicles. Applicant must have a valid driver’s license and must submit a clean driving record.
  • Ability to operate forklift, pallet jack, flat-carts and dollies for handling materials/tools and equipment.
  • Must be able to obtain and maintain all cards required by the company.
  • Must be able to verify the right to work in the U.S.

    Working Conditions – Physical Requirements
  • Typically sit at a desk or table (40% of the shift).
  • Regularly walk, stand or stoop (60% of the shift).
  • Frequently lift, carry, push, pull or otherwise move objects weighing up to 100 lbs.
  • Ascend or descend ladders, scaffolding, ramps and the like.
  • Use tools or equipment requiring a high degree of dexterity.
  • Work for sustained periods of time maintaining concentrated attention to detail.
