SERVICES ON AGING DEPARTMENT

MIMINUM $15/HR

GENERAL WORK FUNCTIONS

The Transportation Coordinator serves to welcome the public to the Center as Head Receptionist. This worker would answer the phones, provide information and transfer calls to appropriate staff members. He/she will also be responsible for General and Medical Transportation for seniors. He/she will give tours, provide information, and assist with completion of registration packets. The Transportation Coordinator will report directly to the Director of Wayne County Services on Aging.

SPECIFIC DUTIES AND RESPONSIBILITIES

  • Learn transportation policies and procedures in order to accurately assist or be responsible for transportation scheduling for the seniors.
  • Responsible for reviewing and correcting Monthly Transportation billing from GWTA.
  • Learn the reimbursement procedures of the HCCBG program, and understand the importance of accuracy.
  • Update information in ARMS system as required.
  • Work with Information and Options Counselor in scheduling and posting of transportation rides in order to monitor cost and establish areas of improvement for reimbursement.
  • Assist with having all units accurately in the system no later than the 7th day of the month following the cut off of units at the end of the preceding month.
  • Answer the phone, provide information, and handle complaints.
  • Assist with new senior center participant’s registration and orientation.
  • Assist with record maintenance, filing and client updates for transportation
  • Competencies, program notes and other documents will be typed as needed
  • Assist with changes and updates to client registrations in a timely manner and assist with the entering of HCCBG units to the ARMS program
  • Assist with maintaining My Senior Center programs, register new participants, or help in the Senior Center in other ways
  • Responsible for using discretion and independent judgment in handling customer complaints and service requests
  • Assist in training Title V employees and Reception Desk volunteers

KNOWLEDGE, SKILLS AND ABILITIES

  • Knowledge of the policies, procedures, and activities of the County, Wayne County Services on Aging, Transportation and Senior Center practices as they pertain to the position.
  • Knowledge of the terminology, principles, and methods utilized within the department.
  • Knowledge of modern office practices, procedures, equipment and standard clerical techniques.
  • Skill in organizing work flow and coordinating work activities.
  • Skill in providing effective customer service, in person and by telephone. Ability to work well with Senior Citizens.
  • Ability to operate computer equipment and software programs typically utilized in the position; ability to type and perform data entry with appropriate speed.
  • Ability to prepare and maintain complete, accurate records and files.
  • Ability to assemble information and make written reports and documents in a concise, clear and effective manner.
  • Ability to effectively communicate and interact with clients, supervisors, members of the general public, and all other groups involved in the activities of the department

MINIMUM TRAINING AND EXPERIENCE

Minimum:

  • Associates Degree or equivalency
  • Proficient in Microsoft Word and Excel
  • Data entry experience

Preferred:

  • Formal computer training

Physical Requirements: Must be physically able to operate a variety of office machines, tools and equipment, such as a computer, printer, copy machine, fax machine, multi-line telephone, or calculator. Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or work station.

Data Conception: Requires the ability to review, classify, categorize, prioritize, and/or analyze data. Includes exercising discretion in determining data classification, and in referencing such analysis to established standards for the purpose of recognizing actual or probable interactive effects and relationships.

Interpersonal Communication: Requires the ability to provide guidance, assistance, and/or interpretation to others regarding the application of procedures and standards to specific situations.

Language Ability: Requires the ability to read a variety of informational documentation, directions, instructions, and methods and procedures. Requires the ability to write reports with proper format, punctuation, spelling and grammar, using all parts of speech. Requires the ability to speak with and before others with poise, voice control, and confidence using correct English and well-modulated voice.

Intelligence: Requires the ability to carry out instructions furnished in written, oral, or diagrammatic form. Involves semi-routine standardized work with some latitude for independent judgment concerning choices of action.

Verbal Aptitude: Requires the ability to utilize a wide variety of reference, descriptive, and/or advisory data and information.

Numerical Aptitude: Requires the ability to perform addition, subtraction, multiplication and division; ability to calculate decimals and percentages; may include ability to perform mathematical operations with fractions; may include ability to compute discount, interest, profit and loss, ratio and proportion.

Form/Spatial Aptitude: Requires the ability to inspect items for proper length, width, and shape, visually with job-related equipment.

Motor Coordination: Requires the ability to coordinate hands and eyes in using automated office equipment.

Manual Dexterity: Requires the ability to handle a variety of items, office equipment, control knobs, switches, etc. Must have the ability to use one hand for twisting or turning motion while coordinating other hand with different activities. Must have moderate levels of eye/hand/foot coordination.

Color Discrimination: May require the ability to differentiate colors and shades of color.

Interpersonal Temperament: Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under minimal stress when confronted with an emergency.

Physical Communication: Requires the ability to talk and/or hear (talking – expressing or exchanging ideas by means of spoken words; hearing- perceiving nature of sounds by ear).
