Job description
This position provides operational support of varied and moderate complexity to the Division of Training and HR Solutions staff. Major functions include identifying and responding to issues related to the DLC (login difficulties, error messages, and other system issues impacting users), providing support to training staff, and coordinating and assisting in special activities as needed.
Preferred Qualification
- Minimum of six (6) months help desk and customer service experience.
Essential Functions
This position serves as administrative support in the Division of Training and HR Solutions and assists in training programs and projects across the organization.
Applies agency laws, rules, regulations, policies, and procedures in maintaining and processing agency information
Creates agency documents; creates and maintains spreadsheets; schedules meetings using Outlook and MS Teams as needed.
Uses effective communication skills to exchange information and assures effective coordination of operational functions.
Research and recommend courses of action for Delaware Learning Center support portal activities.
- Establishes tracking and monitoring systems and conducts follow-up to ensure effective resolution of matters.
Maintains data/filing systems for effective, accurate, and easily retrievable operations, programs, and project activities documentation. Archives data following the organization’s record retention schedule.
Keeps others apprised of issues and accomplishments, follows up and tracks workflow, and resolves problems relating to procedures and deadlines.
Technical skills for the position include the use of the following software:
Word: composing professional documents including basic document creation and editing; simple text formatting (font style, font use, font-weight, color options); paragraph formatting (aligning and spacing options); inserting headers and footers; using bullets; using the find and replace command; adding and deleting columns; using the ruler; adding bookmarks and hyperlinks, working with text boxes; changing page colors; inserting page numbers and borders; creating, inserting, and formatting graphics; finding recently used documents; tracking changes and inserting comments; inserting, modifying and formatting tables and charts; sorting table data; using screenshots and screen clipping features; working with columns; working with mail merge; and inserting/removing watermarks; checking spelling, grammar, readability, word count and saving documents in other formats (PDF).
Excel: developing formulas for calculations; analyzing data to make projections; entering/arranging data; using auto fill; creating charts/graphs; designing, creating, and editing file structure (inserting, deleting, and adjusting cells, columns, and rows); sorting/filtering data; creating/modifying queries; creating pivot tables, saving, printing, and retrieving documents; applying conditional formatting and using formulas; using find and replace and inserting comments; and developing/printing reports.
PowerPoint: inserting text, pictures, and shapes; graphics; creating a slide show; applying transitions and animations; using notes; developing layout, outline, and slide presentation; adding new slides; managing objects on slides; working with charts; formatting graphics; inserting tables; using slide master; using templates; and saving presentation in different formats; creating presenter documents and handouts for presentations.
Outlook: creating emails; attaching files to messages; scheduling meetings/recurring appointments and changing appointments; using scheduling assistant; tracking responses; sharing the calendar with others; using spelling and grammar check, readability, word count, and saving emails as PDF’s; setting up reminders; creating folders and moving messages between folders; creating signatures; using Out of Office Assistance, using the search box and search tools; using flags and color coding categories; reviewing, adding, and downloading attachments; using the poll/vote feature; @mentioning contacts in the body of an email; using OneNote; writing professional emails; inserting pictures/graphics; creating and using distribution lists; working with printing styles; adding hyperlinks; using the blind copy (BCC) field; and setting up rules.
Virtual Meetings: setting up a meeting inside and outside of Outlook; creating meeting invitations; checking the availability of others for meetings; using the “Meet Now” feature; using ‘instant messaging’ to chat; managing audio/video; sharing files/screen or present; changing size of view; viewing participants in meetings; setting up meeting recordings; muting participants; passing presenter rights to participants.
Adobe: editing, converting, sharing, uploading, exporting files; organizing and rearranging pages; creating fillable forms; using the fill and sign functionality; and compare documents.
MS Teams: posting notices and sending updates to team members; uploading files; updating documents (word, excel, PowerPoint) using the Open in Desktop App functionality; searching document history; restoring deleted files; sharing documents; and using the @mention feature.
