Position: Training Administrative Assistant
Duration: 6 months
Location: Everett, WA
Brief Job Description:
- Under general supervision, provides administrative support for day-to-day training operations.
- Assists with trainee uniform program and permit reimbursement forms.
- Supports Training Division activities at various agency locations, prepares training materials, schedules meetings, takes and publishes meeting minutes, compiles information, and generates reports in Excel.
- Deals with and documents internal and external customers at all levels in occasionally difficult or sensitive situations and filing.
- We need an ongoing temp support Training.
- Will require driving their personal car between buildings.
- The temp will work 100% on-site.
- If they work out this could be a six-month position.
Qualifications and experience desired:
- Two years of general administrative experience.
- Word, mail merge functions, formatting, use of tables, and other activities generally associated with intermediate proficiency.
- Excel, with the ability create and maintain spreadsheets, graphs, and reports, including pivot tables and linked worksheets.
- Grammar, punctuation, spelling.
- Time management, including priority setting and resetting.
- General office practices and extensive filing.
- Procedures for handling privileged or confidential documents.
- Communication in English, in writing, or verbally.
- Attention detail identify and correct errors.
- Setting and resetting priorities.
- Working with teams.
- Persevering in difficult situations with tact and diplomacy.
- Responding with the flexibility changing priorities.
- Working well independently and in teams.
- Communicating about deadlines.
- Providing good customer service
Projects and functions be performed:
- Coach Operator Trainee Uniform (would "own this program with Miriam's oversight)
- Ordering for new trainees
- Tracking returns
- Overall program administration
- Permit Week (would "own this program with Gabriel/Treva oversight)
- Room proctoring (my concern is a revolving 2-hour schedule, 10 days of the month will lead schedule vacancies/misses, inconsistency of information shared, perpetual proctor training with whack questions, monitoring trainees out for CDL testing, sign-in and hours worked reporting payroll responsibility, etc.)
- Work with IT on device issues
- Have a phone tree be able answer questions that the trainees may have (it might be a good idea have an answer tree as well)
- Coach Operator Academy/Instructor Support
- Green bag production
- Trainee Manuals
- Filing (especially the daily evaluations)
- Graduation support
- Inventory for COA needs
- Coach Operator Instructor uniforms
- New Employee Orientation (every 2 weeks) this is a missing component between EE and Training
- Liaison with EE (Caitlin and her team) with room set-up, clean-up, managing schedule changes/communication, and other support as needed
- Confirm attendees (COT) for payroll
- Other Corporatewide Trainings
- Help with set-up
- Provide refreshments for trainings
- Taking necessary training materials for the classes the class location.
