Job Summary
The IEEE Awards team manages the IEEE Corporate-Level Awards Program, the highest awards presented by IEEE on behalf of the Board of Directors that recognize excellence in technical and professional communities worldwide. Through its approximately $3.0M Corporate-Level Awards Program, IEEE advances the interests of its members by recognizing their contributions in advancing IEEE fields of interest, celebrating technological triumphs, and inspiring future innovators to positively impact our world.

The overall purpose of the Senior Awards Engagement Specialist position is to contribute to enhancing the visibility, prestige, and impact of IEEE through its Awards Program. The incumbent's efforts will have a direct impact on the department's ability to achieve the objectives of the IEEE Awards Program and the IEEE as a whole. This proactive team member, who is both opportunistic and strategic in their approach, will lead assigned initiatives that are consistent with audience and donor engagement goals as well as the financial goals and objectives of IEEE and the Awards Program. They directly impact the efficient operations of IEEE Awards Program and its ability to raise and manage philanthropic donations for the benefit of the Program. The incumbent will routinely interface with current and potential donors & partners, volunteer leaders, and colleagues across IEEE.

The incumbent reports to the Senior Awards Engagement Manager and works under consultative direction on overall business strategies and objectives. While the incumbent has no direct reports, they will be expected to influence the work of others.

Key Responsibilities

  • Awards Engagement Activities • Leads assigned initiatives that are consistent with the engagement goals and objectives of IEEE and IEEE Awards• Develops communications to donors and supporters on behalf of IEEE Awards• Monitors and tracks progress on annual outreach initiatives to award donors and supporters• Creates and implements engagement activities to retain current donors and to attract new donors• Collaborates with the Senior Awards Engagement Manager on the planning and execution of events involving awards donors and supporters including but not limited to participating in planning meetings, ordering promotional items, tracking registrations, maintaining calendars, sending communications and updates, and following up on action items• Handles annual outreach to awards donors, and ensure they are accurately listed in all collateral and on the website• Identifies topics for newsworthy articles to highlight our donors and partners• Maintains sponsor-related items on Awards website• Leads exhibiting activities, including but not limited to, reserving space, maintaining table supplies inventory and reordering as needed, arranging for shipments, and collaborating with team on needs• Handles all engagement administrative activities
  • Awards Development Activities • Partners with the Senior Awards Engagement Manager on the planning and execution of philanthropic/fundraising activities and/or events for the Awards Program• Conducts research to identify prospective funding sources• Collaborates with the Senior Awards Engagement Manager on donor cultivation, solicitation, and stewardship • Supports annual Awards fundraising initiatives• Manages the donor database• Prepares grants for IEEE Awards• Manages gift agreements across all awards, and drafts agreements for new donors and agreements for donor renewals• Develops metrics to include in reports for awards donors and supporters• Manages the annual donor invoicing process • Collaborates with the Awards and Foundation communication teams to leverage and integrate donor stories into Awards communications and recognition activities • Handles other development tasks as needed
  • Manages budget tracking records for Awards and Honors cost centers and for recipient cash prizes• Prepares check and wire requests, supplier adds, processes invoices, and liaises with Strategic Sourcing, Accounts Payable, Foundation Accounting, and Business Finance Solutions as appropriate• Tracks Gift Agreements and prepares sponsorship renewals. • Prepares the IEEE Foundation annual billing spreadsheet and tracks sponsorship payments• Facilitates the timely processing of volunteer expense reports • Collaborates with the Director, Awards Activities and Senior Awards Engagement Manager on forecasting activities• Responds to vendor financial inquiries in a timely manner• Keeps abreast of changes in related financial procedures• Supports financial-related activities

Qualifications


Education

  • Bachelor's degree or equivalent experience • Bachelor’s degree in relevant field of study or equivalent work experience Required

Work Experience


  • 4-7 years • Minimum 5+ years of relevant work experience preferred• Knowledge of accounting and budgeting processes and procedures• Knowledge of fundraising • Knowledge of event planning • Knowledge of professional associations desired

Skills and Requirements


  • Must be a patient, effective communicator who is able to establish and maintain relationships and skillfully influence and advocate on behalf of the IEEE Awards Program.
  • Demonstrated aptitude for effectively and efficiently working with volunteer Boards and Committees, donors, sponsors, and partners for high-impact results.
  • Understanding of non-profit program administration and fundraising concepts a plus, such as AFP guidelines for practicing fundraising professions.
  • Interest in learning how to and to support the solicitation and securing of significant major gifts from individuals, corporations, and foundations preferred.
  • Positive, proactive work attitude and ability to excel in fast-moving work environment with changing priorities.
  • Skilled at crafting and delivering persuasive presentations and written materials.
  • Must be fluent in business English and capable of speaking effectively on the telephone and in person-to-person situations.
  • Must demonstrate the highest degree of professionalism when dealing with sensitive and/or confidential matters.
  • Must be a technologically savvy worker who seeks out solutions to business challenges. Mastery of Microsoft Office programs required, and mastery of Google Apps for Business preferred. Proficiency in donor tracking software a plus.
  • Strong organizational skills and attention to detail.
  • Exceptional writing and communication skills and demonstrated ability to create recognition materials including newsletter articles, emails, and other written materials.
  • Creative self-starter who will take initiative and work independently to achieve results, who can also collaborate and contribute positively to team efforts.
