Job Purpose:
The Spa Service, Customer Experience Representative (CER) is required to provide a high level of customer service to Hot Tub customers at all times while striving to achieve business and sales targets through superior telephone, email and in person communications skills. The CER will be primarily responsible for assisting customers with troubleshooting and recommending appropriate parts for their needs as well as handling general inquiries. Integrity, professionalism, and enthusiasm are key components of this position.
Essential Duties and Responsibilities:
- Maintains a positive, empathetic, and professional attitude toward customers and coworkers always.
- Actively listens, acknowledges, and resolves customer issues and concern promptly.
- Uses our ERP System to create and review customer orders.
- Reports any discrepancies in location to Spa Service Manager, Processing Manager, or Inventory Control Team immediately.
- Uses multiple calendar systems to determine customers that need to be scheduled for varying appointments.
- Runs reports in the ERP system, to determine orders with outstanding balances.
- Tracks emails, fills out service tickets, tracks parts ordered, etc.
- Processes credit card payments using Shift 4 device.
- Handles check and cash payments when necessary.
- Provides customers with basic education regarding their equipment and chemicals.
- Maintains the service schedule daily.
- Maintains a high level of communication with the Spa Service technicians throughout the day, updates management with information regarding the service schedule and fills out service forms for each given service trip.
Necessary and desirable qualifications include, but are not limited to, the following:
- Strong administrative, organizational, communication skills, and work ethic.
- Ability to multitask in a fast-paced environment.
- Work with team members including (spa/hot tub technicians, warehouse team, inventory team, sales team, and customer service).
- Intermediate level experienced with Microsoft Office Suite and ERP Desired
- Ability to effectively communicate both verbally and written.
- Must have excellent problem solving, organizational, interpersonal skills.
- Clean Background check and drug test required.

Working Conditions
Weekend or evening hours may be required from time-to-time. This position works at times in a warehouse setting with some outdoor exposure during the workday. This role routinely uses standard office equipment such as computers, phones, and standard warehouse equipment such as dollies and furniture carts.
Physical Requirements
Regularly required to use hands to finger, handle or feel, reach with hands and arms, and talk or hear. Regularly lift and/or move objects 75 + lbs. Frequently required to stand, walk, stoop, kneel, crouch or crawl. Occasionally required to sit and climb or balance. Specific vision abilities required for this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust and focus.
