Job Description:
Purpose: To support Show Managers in managing the design elements of an exhibition, from conception to execution.
Location: Grapevine, TX
Have an eye for design along with crackerjack project management skills? Meow Wolf is on the hunt for an energetic and talented Show Coordinator to support Show Managers in managing, monitoring, budgeting, scheduling and expediting the design development and execution of exhibition elements. These elements include artwork, fabricated elements, rock work, scenic design and facades, and set design/scenic interiors inside the exhibit. The Show Coordinator is responsible for effectively documenting and coordinating all show elements within scope, and for disseminating information to and between departments, vendors, creative stakeholders and project leadership.
You will provide stellar support to the show management team, which will ultimately lead to an amazing immersive art experience for our guests.
How you will do it…
- Collaborate with Show Managers on assigned creative studio projects, providing support according to their needs.
- Partner with Show Managers to help find creative solutions to problems as they arise.
- Assist in the administration of and input into project budgets.
- Assist in the creation of artist and vendor contracts as needed and follow through the signature process.
- Support Show Manager with team check-ins, interdepartmental communication, scheduling meetings and schedule tracking.
- Perform project-based errands and ordering as requested.
- Coordinate and disseminate construction drawings for review; from issuance to archives.
- Track open drawing sessions and follow up with team members to ensure comments are captured quickly and efficiently.
- Track drawing reviewers’ comments and validate incorporation into subsequent revisions.
- Facilitate and monitor meetings and other communications to ensure timely issues resolution; E.g., collect issues, prepare agendas, ensure agenda items are addressed, and record and share meeting notes.
- Track and maintain open/action item lists for the show management team.
- Develop and maintain work scope lists, element lists, deliverables matrices, shipping documents, and design inputs.
- Coordinate mock-up development and interface with vendors as necessary.
- Coordinate logistics of owner-provided items for mock-ups, testing, integration, and installation.
- Oversee shipping logistics of on-site arrival of show elements for installation, in coordination with Logistics department and site leadership.
- Oversee field inspection and documentation, including but not limited to: inspections, photographic documentation, room status/completion updates, and other duties as assigned
To be successful in this role…
- You bring a minimum of 2 years in design, production or project management
- You have solid organizational, written and verbal communication, collaboration, interpersonal skills and management skills.
- You possess a strong work ethic, positive attitude, and ability to design collaboratively as part of a large creative team.
- You have the ability to work effectively under pressure, meet deadlines and drive projects to completion, particularly within complex schedules.
- You are equipped with experience working in an environment where discretion regarding sensitive or confidential information was required.
- You come to the table with knowledge of document management, transcription and other administrative procedures.

Work environment and physical demands…
- This position is based in Santa Fe, NM, and a company laptop will be provided.
- This is a full-time position averaging 40 hours a week, Monday to Friday, 9 am to 5 pm MT or 10 am to 6 pm MT – occasionally requiring flexibility to work during evenings or weekends based on business needs, as well as travel to off-site locations.
