About the Position:

This role is an on-campus, in-person position.

The Coordinator 2 manages the daily operations for the Department of Physics. The Coordinator 2 is responsible for all general administrative support functions for the Department of Physics, including, but not limited to, administrative support of all graduate and undergraduate programs; faculty and graduate students; undergraduate and graduate advising; student recruitment; and website maintenance. Additionally, the Coordinator 2 initiates financial transactions related to the ongoing business of the department and is responsible for the appropriateness and accuracy of those transactions as well as tracking of more than 40 active accounts related to the department's and Physics faculty operations.

Essential Functions:

  • Assists with strategic planning for the department within the overall division and University strategic plan. Oversees compliance with school and university procedures and deadlines. Tracks enrollment numbers and other departmental data, and advises chair with evidence-based recommendations. Drafts schedule of classes for Chair review and oversees revision of Undergraduate and Graduate course catalogs.

  • Provides administrative and academic support for the Chair and faculty, arranges meetings, manages correspondence, schedule of classes, office assignments and directory updates, maintains faculty course evaluations, website management/ maintenance.

  • Processes enrollment requests, course enrollment oversight, student petition processing and undergraduate student advising. Reports course proposals/academic program changes, undergraduate/graduate catalogue revisions and assures departmental compliance with University and/or College procedures.

  • Assists with creation of files for faculty throughout the tenure process, including collecting student data, organizing course evaluations and teaching materials. Assists with oversight of faculty searches including ad placement, HR paperwork, search committee communication, candidate interview schedules and campus visits.

  • Reconciles all operating budget transactions monthly. Oversees timely bill payments and transfers of funds. Manages budget, forecasts financial needs, reconciles Q drive reports and credit card statements and processes non-payroll expenditures. Manages student financial aid. Provides the Chair with the status of the Department's and faculty budgets (over 40 accounts) and identifies potential problems.

  • Collaborates with faculty to determine course offerings and schedules, manages contracting, hiring and pay of adjunct faculty.

  • Organizes the work flow of the office. Orders equipment, supplies and other items. Oversees maintenance of facilities and technology. Acts as the Departmental liaison to Facility Services and Risk Management, as well as the Fondren Science Building management.

  • Monitors departmental budget, enters procurement card reports, time entry approval, and specialized external reporting. Coordinates graduate student insurance enrollment, graduate student financial aid and tuition allocation, undergraduate student departmental honor awards and departmental scholarships.

  • Hires and trains student workers. Completes WebClock approvals for student workers. Maintains personnel files, including faculty reviews, payroll authorization processing, collects/submits annual payroll schedule election forms and HR new employee set-up for faculty, adjunct faculty, and students. Coordinates Staff and student hiring paperwork, collection, dissemination and management of applicant materials and campus visits.

  • Organizes and coordinates conferences, seminars, and special events for faculty including identifying venue and negotiating details, estimating costs and establishing budget. Serves as speaker/guest liaison, determines and arranges all details (catering, AV equipment, registration, parking, signage etc.) Promotes event (if appropriate). Plans and executes Physics diploma ceremony.


Qualifications


Education and Experience:

A Bachelor’s degree is required.

A minimum of three years’ experience is required. Work experience in higher education is preferred. Previous supervisory and/or experience managing an office is strongly preferred.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills.

Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.

Candidate knowledge of basic accounting practices is a plus.

Candidate must possess a strong working knowledge of MS Office (e.g. Word, Excel and Outlook).

Candidate knowledge of PeopleSoft, Adobe Acrobat, Sitecore and Interfolio is highly recommended.
