Job description
Function: The Facilities Department Secretary is responsible to the Chief Operating Officer for all day-to-day functions of the Woonsocket Facilities Department. The facilities department consists of facilities, custodial services, transportation, safety, and security. Responsibilities include the processing of paperwork, facilities department purchases, organizing facilities repairs and performing facilities-related duties. This position works closely with the Technology Department Secretary to provide support and assistance.

This is classified as a director's secretary and subject to interview per the Local 1137 collective bargaining agreement. Duties and Responsibilities: Perform office duties including but not limited to answering phones, sorting mail, and maintaining office and printer supplies. Answer emails and maintain digital calendars as necessaryResponsible for relaying directives and information to department employees. Keep files organized and neat.

Create various reports, draft letters, memos and faxes, spreadsheets, and databases. Contact vendors for price quotes and create requisitions. Process all orders, packing slips, and receipts for the Facilities Department. Input inventory data as needed.Assist in the coordination of Federal, State, and Local regulations regarding inspections and record keeping.Maintain the Facilities Department budget Create forms, and reports and assist other departments with document design issues.

Initial Help Desk Support Input Facilities work orders in emergencies. Maintain the Facilities Department work order system. Design and upgrade database as necessary. Contact appropriate facilities personnel when emergencies arise.

Jointly, with the Technology Secretary, maintain the telephone systems in the district. Jointly, with the Technology Secretary, maintain security systems (cameras, alarms, and radios) in the district.Assist in the development of district policies and procedures as it pertains to department operations.Coordinate and schedule services with contractors and vendors. Process and maintain transportation documentation Assist, compile and compose applications and documentation for various grants for the Woonsocket School Department. Provide backup assistance to Secretary to the Chief Operating Officer for Technology.Works the following schedule: Eight (8) hours daily Monday through Friday Other tasks as assigned by the Chief Operating Officer.
