ASM Global, the leader in privately managed public assembly facilities has an excellent and immediate opening for a Scheduling Coordinator at the Long Beach Convention & Entertainment Center. The Scheduling Coordinator is responsible for coordinating all activities and scheduling of employees.
POSITION DUTIES
- Will service as the department's administrative support and duties will vary accordingly.
- Meet with Operations Department to determine scheduling needs for upcoming events. Enforces scheduling timelines.
- Monitor event calendar for upcoming events to ensure proper staffing and uniform levels.
- Maintain proper scheduling policies, avoiding scheduling conflicts and violations.
- Develops, implements and maintains scheduling system.
- Maintains and monitors current E-Time system.
- Maintains posting of Catering orders (BEO’S)
- Follows all ASM Global and Union Contract language as it relates to Scheduling.
- Monitors progressive Discipline, Absentee Logs
Maintain department with the following:
- Prepare packets for catering
- Review Events Forecast Schedule with Managers to determine staffing requirements for Catering
- Prepare schedules and packets based on managers' requirements
- Work with Staffing Agencies to fill positions for high volume events and ensure POs are approved by the General Manager of Savor.
- Compare event forecast to Managers requirements
- Schedule employees as needed for COD and Catering based on seniority and Union procedures.
- Complete packets for employee pick based on Union Guidelines
- Complete, monitor and maintain employee recap
- Confirm all employee schedules, and verify catering employees pick
- Order extras from Union dispatch as per contract
- Prepare check-in sheet and timesheets
- Post timesheets on clipboards and board
- Distribute copies of check-in sheets
- Employee check-in and check-out
- Check-in scheduled employees by location according to check-in sheet
- Check Union dispatch employees for dispatch slips
- Direct employees to location (In-uniform), new employees need to be taken to the location and advised of SMG rules and regulations
- Inform managers of no-shows, absences, etc. making adjustments accordingly
- Monitor accuracy of completed timesheets
- Batch and submit completed timesheets to Payroll for processing.
- Maintain Administrative procedures
- Accountable for filing of documentation of Union correspondence
- Filing of Catering packets and updates of same
- Posting and maintaining upcoming events board
- Verify tip distributions have been completed by F&B Managers, and supplying information as needed
- Maintaining copies of completed and coded timesheets
- Verifying and researching employee payroll complaints
- Submit employee time off requests to Human Resources
- Work with Union Local 11 on the adherence to contract and ASM Global Rules and Regulations.
- Enforcement of ASM Global rules and Regulations including issuance and transmittal of proper documentation.
- Assist Managers with accident reporting and disciplinary actions.
- Assist Staff Services Manager with seniority lists, Union issues and additional duties as required.
- Monitor locations for employee performances and adherences to SASM Global Rules and Regulations
- On hand during events to ensure proper staffing and indoctrination
- Other related duties as required
QUALIFICATIONS
- Ability to maintain confidentiality of sensitive employee documents
- Must have high level of problem-solving ability
- Ability to manage, train and develop staff
- Detail oriented with good verbal and written organizational skills.
- Ability to interface with other departments.
- Ability to carry out assignments with minimum supervision.
- Must be able to work all shifts and weekends.
- Knowledge of Windows, Word, Excel

Pay Range: $23 - $28 per hour
