Full Time Receptionist Job Description:
Ross Township, Monroe County, PA seeks a qualified individual to fill the full-time Front Desk Receptionist position. This position will work Monday- Friday for 37.5 hours per week. One Saturday per month to support Township Events as needed.
Essential Functions:
- Highly organized and responsible.
- Proficient in Word and Excel, and Power Point.
- Greets, directs, and announces visitors and assists with general information for residents and guests.
- Answer telephone and door and delegate calls or visits where appropriate.
- Assist and inform residents and public of township information, explain procedures, accept complaints and either resolve or refer them to the appropriate official.
- Open, dating, scanning and distribution of the mail to the appropriate parties daily
- Record retention management as legally mandated
- Provide support to the Township Secretary/Treasurer, Supervisors, Zoning, Road, Tax and Sewage Departments.
- Types correspondence such as letter, memoranda, and forms from copy, drafts, or instructions; proofreads documents.
- Schedule and record all Park Pavilion rentals, Manage paperwork official calendar, payments and refunds and scheduling security.
- Interface with state, county and local governmental entities as necessary for performance of assigned tasks.
- Attends various Township meetings; prepares and distributes minutes as needed.
- Directs community e-mail requests to the Department Heads and assists with collecting the information.
- Distributes requests and maintains log for Right to Know requests submitted through the website.
- Orders supplies for the office and tracks appropriate inventory of supplies. Maintains postage account for mailing systems, professional printers, and office machinery.
- Makes copies of building permit packets, complaint forms, subdivision packets, welcome packets and zoning and subdivision books as needed.
- Assist Township Secretary with event planning and preparation.
- Scan and file as part of the records management project.
- Assist with township communication as needed. ( newsletter, flyers, website, social media)
- Handle multiple interruptions and adjustments to priorities.
- Provide a variety of routine and complex clerical, administrative duties as needed.
- Handle other miscellaneous duties as may be required.
Job Qualifications:
- Use of Microsoft Office including Word, Excel, Publisher, Power Point, Outlook, internet.
- Two (2) years prior administrative experience preferred or seeking degree in an administrative program.
- Complete knowledge and ability in business correspondences. Ability to proofread for grammar, spelling, and punctuation with high degree of accuracy.
- Ability to handle multiple responsibilities simultaneously, has ability to prioritize work and address emergencies as they may occur.
- Good communication skills and ability to effectively interact with diverse and (sometimes) irate individuals.
- Ability to identify problems associated with the daily work routine and provide suggestions for correction of those problems,
- Experience providing customer & personal services. This includes needs assessment, meeting quality standards, and evaluation of customer satisfaction.
- Sit and perform fine manipulation continuously; bend and reach at all levels occasionally.
- Ability to lift up to 25 lb.
