Job description
Receptionist needed for a very active and busy front desk to perform a variety of clerical tasks on a daily basis. The Receptionist is often the first person in the office and will be the first point of contact for our company. Receptionist duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will coordinate front-desk activities, including distributing correspondence and redirecting and screening calls from two multi-line phone systems, gate administration to our facility and deliveries often all at the same time. The successful candidate will have a great customer service attitude and a willingness to get everyone and everything to the right location across our campus. You should be able to deal with situations in a timely and effective manner, while streamlining office operations. Multitasking skills are very essential for this position. Ultimately, the Receptionist’s duties and responsibilities are to ensure the front desk executes all administrative tasks to the highest quality standards.
Job Duties
- Greet and welcome arriving guests
- Direct and deliver visitors to the appropriate person and office
- Maintain office security by following safety procedures and controlling access via the reception desk and gate access
- Answer, screen, take messages and forward calls from two multi-line phones
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Provide basic and accurate information in-person and via phone/email
- Receive, sort and distribute daily mail/deliveries as needed
- Handle customer calls
- Maintain phone extension list
- Maintain office refreshments
- Order front office supplies and keep inventory of stock
- Keep updated records of office expenses and costs
- Other duties as needed
Job Requirements
- Proven work experience as a Receptionist, Front Office Representative or similar job role
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Strong customer service attitude
- High school degree; additional certification in Office Management is a plus
- Valid Driver's License
- Authorized to work in the US
