JOB SUMMARY

The Real Estate Administrative Assistant will help facilitate the efficient daily operation of the front desk and office by performing a variety of administrative, clerical, and accounting tasks.

DUTIES/RESPONSIBILITIES

  • Acting as the outward face of Nordblom Company’s corporate office.
  • Greeting clients, visitors, and guests; determine the purpose of each person’s visit and escorting them to the appropriate location.
  • Answering, screening, and directing phone calls to staff; taking messages.
  • Sending and receiving mail, documents, packages, and courier deliveries and distributing or delivering items.
  • Responding to and resolving front desk administrative inquiries and questions.
  • Coordinating meetings and appointments for managers and/or supervisors.
  • Assisting in coordinating special events.
  • Maintaining office and kitchen supplies.
  • Utilizing company systems to perform administrative, clerical and accounting support.
  • Assembling and distributing monthly property reports.
  • Coordinating investor relations.
  • Managing Certificates of Insurance.
  • Maintaining and organizing conference rooms and schedules.
  • Tracking Paid Time Off.
  • Preparing monthly management calendars.
  • Maintaining Emergency Response Contact Lists.
  • Providing tenant coordination through administrative tasks.
  • Entering, scanning, and routing invoices to/within accounting software.
  • Creating and editing documents, spreadsheets, and presentations.
  • Creating effective company communications and announcements.
  • Completing other related duties as assigned.

REQUIRED SKILLS

  • Excellent interpersonal and customer service skills
  • Excellent verbal and written communication skills
  • Ability to exercise discretion and keep confidentiality
  • Excellent organizational skills, attention to detail, and accuracy
  • Strong technology skills, including Microsoft Office Suite (Word, Excel, and PowerPoint)
  • Basic understanding of clerical procedures and systems such as record keeping and filing
  • Enthusiasm for supporting the needs of a busy office and those who work there
  • Ability to take initiative and work independently

PREFERRED SKILLS

  • Associates Degree
  • Three to five years of experience in a front desk/administrative role

Job Type: Full-time

Pay: $50,000.00 - $55,000.00 per year
