Summary
Works closely and in conjunction with the Executive Director of Clinical, QA and Compliance & the Sr. Director of Quality Assurance, and the Quality Assurance Departments throughout all Caregiver brands and markets to assist area offices in maintaining compliance with federal, state, local laws and regulatory rule. Takes all complaint calls and emails related to any and all potential company compliance breaches and coordinates and facilitates those intakes, investigations and closes out cases.
Essential Duties and Responsibilities
- Assists members of the Quality Assurance Department in maintaining compliance with state and federal standards.
- Completes reports, letters, tracking and documentation for matters related to the department of Compliance & Quality Assurance, as well as reports, letters, tracking and documentation to and from all local, state and federal regulatory bodies in each state that Caregiver operates in.
- Manages timelines and follows-up, as well as, files and records/tracks incident reports received from the Department of Family and Protective Services (DFPS) for all Texas area offices.
- Manages timelines and follows-up, as well as, files and records/tracks incident reports received from the reporting regulatory body in each state that Caregiver operates in outside of Texas, ie) DODD, DIDD, MUI reports, and or Sentinel/non-sentinel reports.
- Works closely with all area offices in order to meet all reporting timelines and deadlines.
- Assists the Compliance & Quality Assurance Department in maintaining the Policy and Procedures manual and distributing policies to area offices as needed.
- Assists with duties associated with Facilities Risk Managers and Quality Assurance involving the various EHRs and tasks related to Incident/Injury Reports.
- Completes all reported potential company compliance breaches within the Compliance portal. Completes the Investigation portion of the compliance intake when applicable and closes out cases when cases are completed. Works closely with the Executive Director of Clinical, QA and Compliance on each reported case.
- Assists with coordinating documents and tracking of metrics for quarterly Corporate Compliance Committee meetings.
- Manages the Direct Opinions process and appropriate notifications.
- Manages and tracks notifications for all state, federal and local regulatory audits and surveys and sends out official notifications to appropriate team members. Tracks and files all audits and survey results as well as all Plans of Corrections, appeals and outcomes.
- Ability to work 8 AM - 5 PM, Monday through Friday, with flexibility to work outside of regular schedule as deemed necessary for completion of tasks.
- Performs all other duties as assigned by management.
Education and/or Experience
- Minimum of 2 years office administration experience
- High School diploma
Qualifications
- Outstanding organizational skills
- Outstanding communication skills
- Proficient in utilizing state-wide databases and computer applications such as Microsoft Word, Excel, Outlook, and Access
- Ability to type and complete data-entry tasks efficiently
- Ability to work efficiently and professionally with a variety of staff in the field of developmental disabilities
- Must be able to deal with highly confidential information and know HIPAA privacy and security laws and abide by them at all times
- Prefer knowledge of APS/DFPS requirements as applied to all DADS HCS, TxHmL, DBMD, CDS, CLASS and ICF-ID Texas Administrative Codes
- Prefer knowledge of Life Safety Codes
- Ability to handle multiple tasks efficiently and effectively
