San Mateo Medical Center is seeking a Hospital Unit Coordinator (HUC) to provide medical secretarial support for the Skilled-Nursing and the Long-Term Care Unit. HUC generally functions as the only office support for the unit; provides responsible support directly to medical nursing staff; act as a receptionist and central communication focus within the unit providing information to medical, nursing and ancillary staff, other hospital departments, patients and families; and provide a variety of recordkeeping.

The ideal candidate has knowledge of medical terminology, is skilled in entering data into a computer, enjoys meeting and communicating with the public, is able to work efficiently in highly distracting situations, deals sensitively and helpfully with a diverse group of staff and patients, delivers specimens, safely and abiding by infection control standards, monitors and orders supplies responsibly, and is able to audit medical records in an acute or long term care setting. The ideal candidate will also have strong computer skills and the ability to problem solve and troubleshoot computer issues.

Hospital Unit Coordinators may be required to work various shifts and hours, including days, evenings, nights, and weekends. The current vacancy is a regular, full-time position and the primary work hours are Monday-Friday, 8 am-4:30 pm. Weekend and night coverage may be required based on the needs of the department.

Examples Of Duties

Duties may include, but are not limited to, the following:


  • Prepare and processes unit admissions, discharges and patient transfer documents; ensure patient signatures on consent and release forms; open and maintain patient charts.
  • Schedule clinic appointments and make appointments for outside patient referrals; arrange for necessary transportation.
  • Transcribe physicians' orders to medication and treatment sheets and internal record keeping documents; transcribe patient vital signs and weight to appropriate patient chart forms.
  • Prepare pharmacy order sheets, lab slips, nourishment and diet change lists and work requests for repair or maintenance of unit equipment.
  • Answer telephones and physician pages; take messages and communicate information as required.
  • Order and maintain a small inventory of items from the storeroom, central supply, dietary and other departments.
  • Respond to inquiries from physician and nursing staff, patients and visitors providing factual information when possible and/or following up on specific questions with professional staff.
  • Instruct new staff in specific unit procedures.
  • Prepare periodic statistical reports related to unit activities.
  • Maintain various files, including the filing of lab slips, X-ray reports and other
  • documentation in the patient folders.
  • May pick up and deliver supplies and other necessary items as required.
  • Provide off hours support as required.
  • Perform related duties as assigned.

Qualifications

Departmental Status:
An applicant must have been a County of San Mateo employee in San Mateo County Health with at least six months (1040 hours) of continuous service in a classified regular, probationary, Confidential and Management extra-help/limited term, and SEIU or AFSCME represented extra help/limited term position prior to the final filing date may apply.

Knowledge of:


  • Medical terminology, practices and concepts related to medical unit support work.
  • Office practices and procedures including reception, filing and the operation of standard office equipment.
  • Business arithmetic.
  • Basic recordkeeping principles and practices.
  • Basic business data processing principles and the use of word processing or personal computer equipment.
Skill/Ability to:
  • Organize and maintain accurate patient and general files and records.
  • Perform detailed medical unit support work accurately.
  • Use initiative and sound independent judgment within established guidelines.
  • Prioritize work and coordinate several activities.
  • Operate standard office equipment.
  • Make accurate arithmetic calculations.
  • Understand and carry out oral and written directions.
  • Establish and maintain effective working relationships with medical staff and with difficult people, including very sick or uncooperative patients.
Education and Experience:
Any combination of education and experience that would likely provide the required knowledge, skills and abilities is qualifying. A typical way to qualify is:

Two years of experience which required the use of medical terminology and direct contact with patients in a clinic or similar medical office setting.

The examination process will consist of an application screening (weight: pass/fail) based on the candidates' application and responses to the supplemental questions. Depending on the number of applicants an application appraisal of education and experience may be used in place of other examinations or further evaluation of work experience may be conducted to group applicants by level of qualification. All applicants who meet the minimum qualifications are not guaranteed advancement through any subsequent phase of the examination. All examinations will be given in the County of San Mateo, California and applicants must participate at their own expense.
