The Project Coordinator will assist the Project Manager with the day-to-day tracking and documentation of the various stages of the City’s ARPA and ESSER funded projects. Documentation will include all phases of the project from inception, design proposals, bidding documents through award. Construction tracking and management of documentation will then follow. Information from KBE’s field superintendent will consist of daily field reports, brief schedule updates and closeout documentation status for all projects in the construction phase.

All documentation must be filed and ready to be available for turnover to the City for their permanent record.


This is an on-site position with the City of Meriden.


Minimum Qualifications:

To review and have a general understanding of the American Rescue Plan Act (ARPA) and the


Correspondence and Record Keeping responsibilities:

  • Along with the KBE PM who will be copied on all city email correspondence; track, manage and organize all attached documents and store them on KBE’s Server ensuring that everything is properly labelled.
  • Extract any pertinent information from correspondence which will change status of Projects tracking sheets; and update Microsoft Excel spreadsheet accordingly, ensuring that items that need to be added timely and efficiently.
  • Meet with KBE Project Manager weekly to review status of tracking sheets to be sure all up to date information has been captured and is accurate.
  • Organize and store files for the many city projects. Store files by department, from inception through closeout in such a fashion that they are easily accessible for turnover to the city for their records and can be readily accessible in the event of an audit.
  • Label and store project photos for multiple projects
  • Assist KBE PM in assembly and compiling of Monthly Report to City.

Preparation of meeting minutes:

  • Prepare agenda and handouts for meetings as needed.
  • Set up conference call w/call-in numbers, send meeting planners as required.
  • Record, maintain and assemble all reoccurring meeting minutes for all city departments. Meeting minutes should be detailed and carefully worded to ensure accurate dates are incorporated and commitments are documented
  • Review minutes with KBE PM for accuracy and thoroughness weekly prior to distribution
  • Ensure that meeting minutes are updated and distributed within two days of the meeting


Education, Experience, & Qualifications:

  • 3+ years of administrative assistant experience (college experience a plus, but not needed)
  • Construction experience helpful, but not essential
  • Ability to work in a fast-paced environment
  • Exceptional attention to detail and organizational skills
  • Must be able to work independently and be resourceful to find needed information
  • Must be flexible and able to juggle several tasks at a time
  • Sense of urgency in getting tasks completed by set deadlines
  • Proven skills in Microsoft Word, Excel and Outlook
  • Able and willing to follow up, by phone if needed and preferred

LANGUAGE SKILLS: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental proposal requests. Ability to write proposals, reports, and business correspondence. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.


REASONING ABILITY:
Ability to apply common sense understanding to carry out instructions furnished in written or oral form. Ability to absorb and retain information.
