Job description
The Project Administration Specialist is responsible for assisting ERP Program Managers with project administration like scheduling internal and client meetings, publishing meeting notes and action items, and editing, modifying and updating documentation. The role includes leadership of cross-functional Capital Edge, client, and third-party teams and aligning goals with business stakeholder needs.
KEY RESPONSIBILITIES
- Coordinate schedules across multiple companies and time zones to set up meetings that include a purpose, agenda, expected outcome, and detailed logistics.
- Work closely with team, client, and contractors to build collaboration and teamwork as well as trust.
- Participate in meetings and provide concise notes detailing action items including ownership and due dates to be distributed after the meeting.
- Review documentation and proposals for content, grammar, and formatting.
- Update documents from templates based on client requirements and inputs from team members.
- Monitor project status including timelines and budget and report to project team.
- Work effectively both independently and in a team environment, remote or in-person, depending on the needs of the business and client(s).
- Drive the client experience to develop and report on key metrics. Determine and make appropriate tradeoffs to clearly communicate goals, roles, responsibilities, and desired outcomes to cross-functional project teams.
- Develop and communicate project updates, milestones, and challenges to senior executive leadership.
REQUIRED EXPERIENCE
- Bachelor's degree in business or similar, experience in government contracting or grant management is a plus.
- 0-2 years of experience in a similar role.
- Exceptional interpersonal, collaboration and communication abilities.
- Proven writing and editing skills.
- Curiosity and self-motivation to learn new practices and skills.
- Ability to manage time and conflicting priorities.
- Attention to detail.
- Excellent organizational skills.
TRAVEL REQUIREMENTS
Travel required up to 50% of the time with potential for more depending on project requirements and client needs.
