The Space Program Scheduler will partner closely with the Space Management Planning and Delivery teams to develop and manage the master program schedule. In this role, the successful candidate will be collaborating with Program Managers, Delivery Managers, Space Management Leadership and client Stakeholders to define tasks, establish dependencies and monitor the execution of project timelines. The Space Program Scheduler will prepare a clear order of operations needed to deliver the program, alert users to potential problem areas, plan for future resource allocations and manipulate the schedule to ameliorate these constraints. This person will possess the ability to examine the tradeoffs between the time and resources to carry out the program’s projects. Through the proper use of scheduling techniques and eloquent presentations, the Space Program Scheduler will report out to Leadership enabling them to make informed decisions.
ESSENTIAL JOB DUTIES (7-10 with highest % time spent listed first):
- Provide regular reporting on all projects to Space Management Leadership, cross-service line partners and client stakeholders
- Regularly maintain the master program schedule and Space Project Dashboard in SmartSheet.
- Obtain regular projects updates from the Project Management team in order to develop tasks, quantify durations, establish dependencies and update the master program schedule
- Partner with the Space Planning team on development and scheduling of the projects greater than 6 months in duration
- Interface with internal departments (including, but not limited to, Project Management, and Integrated Facilities Management and Finance) to drive the integration of all associated workstream schedules
- Prepare and give presentations to communicate status, risks, challenges and opportunities related to the master program schedule and independent project schedules driving the critical path
- Partner with the Technology Team to maintain the Space Project dashboard in SmartSheet.
- Serve as the Space POC with the Technology team on planning and executing the transition to the Clarizen / Procore platform and provide support for system optimization as it pertains to scheduling, resourcing, etc.
- Generate and document all business processes associated with the project intake, updating and reporting of project and program schedules
- Produce and maintain baseline project schedule templates for the various programs, project types and pillar teams within Space Management
- Develop, maintain and routinely present training materials associated with all standard operating procedures applicable to project and program scheduling
- Performs other related duties as required or requested
EDUCATION/EXPERIENCE/TRAINING:
- Bachelor's Degree required; Master’s Degree preferred
o Specify preferred major: Project Management, Business Management, Engineering or related discipline
- Certifications, Licenses, or Accreditations preferred
o Specify requirements: PMP, PE, AIA, LEED or CMAA
WORK EXPERIENCE:
- 10+ years of project management experience in the architectural, engineering or construction industry or related field
- 5-7 years of active project/program scheduling in the architectural design/engineering, construction industries or related field
- Specialized knowledge / skills:
o Proficiency with all scheduling concepts including, but not limited to, building a network model, precedence diagrams, resource allocation/leveling, money and network schedules, project monitoring and control, earned value, PERT, short interval schedules and linear scheduling
o Comprehension of space planning terminology, documentation, and design disciplines
o Strong knowledge of Google Suite
o Proficiency with project management tools (Procore, Clarizen, Smartsheet, Primavera, Microsoft Project, PlanGrid, etc)
o Proven track record of providing world class reporting (internal and external), customer service and leadership
o Highly organized and detail oriented with sound interpersonal skills
o Ability to perform duties under deadline pressure in a fast-paced, high-volume environment
o Excellent oral and written communication skills
PHYSICAL DEMANDS/ENVIRONMENTAL WORK CONDITIONS:
- Located in or willing and able to travel within the San Francisco Bay Area as needed
- Involves work of a general office nature; typically includes extended periods of sitting and/or operation of a computer for up to 8 hours a day
- May involve periods of standing, such as operating at a copier/fax/scanner.
- Regularly required to talk, hear, and use hands and fingers to write and type.
- Ability to speak clearly so others can understand you.
- Ability to read and understand information and ideas presented orally and in writing.
- Ability to communicate information and ideas in writing and orally so others will understand.
- Regularly required to utilize vision abilities, allowing reading of printed material, graphics, and computer displays.

Pay: $120,000.00 - $170,000.00 per year
