We address family homelessness holistically, providing prevention services before they reach a crisis, emergency shelter and case management when they become homeless, and stabilization programs once they secure housing to ensure independence. Position Overview: The Program Manager will oversee the daily operations of the services at FPGWC emergency shelter sites and programs. The primary role of this position will be to manage day to day program spending and grant billing. They are responsible for supervising and training the case management team and ensuring that services are provided in accordance with FPGW’s values.

Primary Duties & Responsibilities:

Human Resources

Personnel

  • Assist Executive Director with HR responsibilities.
  • Assists in recruiting, hiring, and training of staff.
  • Work with Executive Director to jointly supervise and evaluate performance of case management team and interns.

Program Practices and Management

  • Assists Executive Director in providing daily oversight to the case management team.
  • Assists in ensuring program policies and procedures are current and both:

o Compliant with public sector rules and regulations and

o Congruent with best practices as articulated by the body of
knowledge/research in the field.

  • Develops, maintains, and utilizes community resources and partnership.
  • Assists in ensuring that resident/client records are maintained in accordance with contract standards and best practices.
  • Assist in responding to guest and other program participant issues and emergency situations.

Administrative

  • Ensure compliance with grants and reporting provisions.
  • Gather and archive data for reporting purposes. Maintain Online drive.
  • Generate and submit reports and invoices to the appropriate public and private funders.
  • Act as a point of contact with hotel partners. Collect Hotel folios and prepare them for grant reimbursement.
  • Assist Accountant with the administration of timesheets and payroll.
  • Manage accounting and payroll databases (TSheets, Bill.com, Gusto, etc.)
  • Work closely with Executive Director and Accountant to manage organization’s financials and budget.
  • Works closely with Office manager to manage day-to-day facility related operations and maintenance ensuring facilities are operating in accordance with local and state guidelines.
  • Works closely with Office Manager to coordinate third party vendors and IT.
  • Works with Executive Director to Interface with renovation contractors and ensure timely payments.
  • Interact with internal and external auditors in completing audits.
  • Performs other duties as assigned.

Education & Experience

  • High School Diploma + 6 years of related experience or Bachelor’s or Master’s degree + 2 years of related experience
  • Strong understanding of the diverse needs of individuals and families experiencing homelessness. Past experience working directly with low-income individuals and families experiencing homelessness or at risk of experiencing homelessness is highly valued.
  • Experience in Social Services or Nonprofit required
  • Prefer experience with QuickBooks Online.
  • Experience with Google Suites, Microsoft Suites, etc.
  • Experience with grant billing and reporting.
  • Supervisory or lead experience is strongly preferred.
  • Ability to learn and adapt to new systems and technologies.
  • Ability to take initiative and manage projects assigned through completion with minimal supervision.
  • Ability to work effectively independently and as a highly resourceful team player under pressure and within deadlines.
  • Ability to anticipate challenges and effectively resolve potential issues through creative problem solving.
  • Ability to develop rapport and engender trust.
  • Exhibits a positive attitude and professional demeanor.
  • Ability to collaborate across departments and provide support to staff.
  • Knowledge of Housing First model and practices.

Scheduling:

  • Standard Schedule: Monday – Friday, 40 hours a week
  • Flexibility to conduct meetings in the evenings or on weekends as needed
