RoundGlass is looking for an Executive Assistant to partner directly with our CEO to oversee a wide range of complex, confidential, and administrative responsibilities. You'll contribute to the overall organization's success by keeping a pulse on executive priorities, closely communicating with the leadership team, with efficiency and deliverable projects.
You'll have initiative, independent judgment, tact and diplomacy with sensitive, complex, and highly confidential business both inside and outside the company. You'll also be a champion of culture, evangelizing RoundGlass values to create impact across the organization.
Must be able to work in our Bellevue office. Salary range is $120,000-$150,000

What you’ll do:

    • general operations of the Executive Office are functioning at optimal capacity.
    • To provide high-level support to the executive office and ensure top-level service is delivered to the CEO.
    • Executive Assistant to the CEO manages the content of information flowing into and out of the CEO’s office, schedule of the CEO, correspondence and presentations for the CEO, and other executive support, as needed.
    • Field heavy call volume, answering and responding to calls/emails, providing a high level of service; serving as an all-around gatekeeper to the CEO’s office.
    • Provides calendar and scheduling coordination, ensuring the most effective use of the CEO’s attention and focus. Choreographs complex projects/processes/events and ensures that all travel facets are flawless.
    • Meet daily with the CEO to review the schedule; ensures that materials for meetings are received on a timely basis and are relevant, complete, and accurate. Proactively monitor assigned executive schedules to identify conflicts and reach out for input/resolution before time or priority conflicts occur. May respond on CEO’s behalf at times and helps triage items for them, at times responding proactively.
    • Be proactive and flexible as schedules and priorities shift.
    • Take a strategic approach to plan client meetings.
    • Prepare agendas and any required documents; transcribe minutes of meetings.
    • Provide detailed tracking and accounting of all activities and responsibilities for multiple, simultaneous projects.
    • Assist with internal and external communications: monitor, retrieve, sort, prioritize and respond accordingly to phone calls, emails, faxes, and mail.
    • Arrange domestic and international travel, including accommodations, tracking expenses, car etc.
    • Prepare expense reports on behalf of the CEO, as well as tracking and reporting.
    • Assist or lead the completion of special projects as assigned; other duties as required.
    • Ability to work a flexible schedule as needed to complete time-sensitive or special projects.

Who we’re looking for:

    • Bachelor’s degree or combination of education and experience
    • At least 5+ years of related experience in project management and/or administrative support functions
    • At least 3+ years of executive assistant experience supporting C-Level executives
    • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
    • Ability to be proactive and flexible as schedules and priorities shift
    • High level of strategic partnership, providing insights and recommendations, business needs, and priority shifts
    • Hyper-organized with the ability to solve complex business issues and schedule conflicts
    • Strong communication skills across leadership teams, internally and externally
    • Ability to work through ambiguity with a relentlessly optimistic attitude in a fast-paced environment
    • Ability to work effectively in a global organization, across cultures and time zones
    • Ability to work outside core business hours as needed
    • Ability to understand P&L, expense report and budgeting
