Payroll Coordinator/Accounting Assistant
Job description
***This is a part time position averaging 24 hours per week (Monday through Wednesday). During peak times, position may require up to 32 hours per week.***
Under the direction of the CFO, the Payroll Coordinator/Accounting Assistant is responsible for the weekly payroll process for Reich Tool & Design and its sister company, Trinity Precision Solutions, in its entirety. This position will also serve as a backup to our accounting staff for basic accounting processes such as Accounts Payable and Accounts Receivable.
Responsibilities:
- Maintain a high level of confidentiality regarding all things payroll and accounting.
- Payroll process in its entirety:
- -New employee setup (Global Shop and Paylocity)
- -Verification of time records in Global Shop
- -Data imports and/or exports between Global Shop and Paylocity
- -Generation of payroll reports
- -ACH transactions
- -Check distribution
- -Federal and State Tax balancing
- -W-2 processing/balancing
- -General system changes.
- Upload weekly flex spending account contributions; balance to YTD deposits.
- Upload 401(k) contributions weekly.
- Verify weekly and quarterly tax payments posted by Paylocity for filing to respective states and IRS; balance quarterly tax returns.
- Update vacation/time off worksheets and calendars.
- Update hours tracking spreadsheet for apprentices’ and salaried employees.
- Serve as backup in Accounting Department when other staff are out of the office: Accounts Payable, Accounts Receivable, New Job Set-Up, etc.
- General filing in department.
- Provide backup management support for: phones, facilities, etc.
