Job Title: Operations Administrator

Reports To: Ted Baltrusaitis & Jan Marie Robinson

Century Craft Homes is engaged in building new homes and large-scale renovations in the Brevard and Lake Toxaway areas of beautiful Western North Carolina. The boutique construction firm serves as a general contractor managing 10-15 projects annually with a host of subcontractor and vendor relationships.

Job Description

Communications

  • Manage incoming and outgoing communications (e.g., emails, phone calls) and assist CCH management to respond to urgent client needs.
  • Working with clients and project manager to provide daily/weekly updates on schedule, task list, project management system updates, client questions, etc.
  • Facilitating and documenting weekly meetings, scheduling, task list, questions, etc.
  • Facilitating and scheduling Zoom calls between customers and CCH Personnel.

Financial Admin

  • Preparing client invoices and payment applications to lenders.
  • Sending Change Orders to clients for approval and managing responses to Change Orders.
  • Receiving subcontractor and vendor invoices and entering into QuickBooks per the assigned category in order to facilitate easy cost tracking per job.
  • Recording credit card receipts and reconciling credit card statements.

Subcontractor Admin

  • Managing subcontractor and vendor work contracts, insurance certificates, Policies and Procedures form, W-9's, etc.
  • Printing checks to pay subcontractors and vendors.
  • Sending plans and specifications to subcontractors and vendors to receive project bids and generate client budgets and proposals.

Purchasing

  • Providing take-offs from Architectural plans for each phase of construction.
  • Shopping materials to vendors and suppliers to find the best pricing and availability.
  • Ordering materials and working with the project manager to schedule delivery to the job site when needed.

General Admin

  • Provide general office administrative support (e.g., electronic file management, client info gathering, data entry, office supply orders, etc.).
  • Perform additional tasks at the direction of CCH management.

Summary of Essential Skill Sets

  • General understanding of residential construction.
  • General familiarity with QuickBooks and basic expense accounting and reconciliation
  • Comfort organizing and executing administrative tasks to support an efficient construction operation.
  • Comfort interacting with customers, subcontractors, and vendors with an ability to communicate clearly in-person, by phone, and by email when coordinating appointments, providing instructions, gathering information, and problem-solving routine administrative matters.
  • Ability to track and organize client relationships, multi-step projects, and certain time-sensitive tasks is essential to operations and efficiency.
  • Organization skills and attention to detail are critical given the nature of the work.

Knowledge, Skills & Attributes

  • College degree preferred
  • Minimum 3 years construction industry experience preferred
  • Comfortable working with accounting software (e.g., QuickBooks, Sage, etc.)
  • Strong computer skills, including knowledge of Microsoft Office, Excel, Google G-Suites, etc.
  • Excellent oral, written, and interpersonal communication skills
  • Effective follow-up skills and ability to meet deadlines
  • Energetic, eager to learn, willing to cooperate
  • Self-motivated and able to work well independently and under direction
  • Comfort with being a “team player” and doing what is needed, big or small
  • Professional appearance and demeanor

Compensation

Salary Range: $40,000-$60,000

401k: 3% after 365 days

Paid Time Off: 2 weeks (nonconsecutive)

  • Willing to submit to criminal and personal background check
  • 90 Day Trial Period
