JOB DESCRIPTION: Office Manager / Client Care
We are seeking an office manager and client care rep for our company. This role is vital to our organization as it supports our Project Managers, Office, and acts as a liaison between clients and project managers. Client Care objectives
- Answer the phone, which will include sales leads and orders. As the “voice” and “face” of the company, a high level of professionalism is expected
- Help maintain communication between project manager and customers
- Help organize the project managers schedule by assisting in client meetings, subcontractor coordination planning, delivery schedules and setting F2F appointments
- Updating daily reports and dashboards
- Provide diligent and friendly service leaving customers feeling satisfied
- Answer client questions or concerns in timely, informative, and professional manner
- Calmly handle customer complaints and work to find solutions
- Compile and update necessary docs; create and send contracts, etc.
- Frequent follow-up with clients regarding their estimates, appointments, and to confirm their overall satisfaction with services provided
- Assist team in sending and following up on invoices
- Process all incoming leads by diligently responding to inquiries in a timely manner and scheduling an initial introduction phone call between client and project manager
- Provide all relevant lead information to the project manager prior to the call
- Follow-up with project manager after initial phone call then complete action items, i.e., send clients additional company info, schedule site visit, etc.
- Manage all lead phone calls and site visits on the project manager’s calendar
- Provide weekly updates on estimate status
- Work with accounting and production to assemble and send invoicing packets
- Invoicing / Accounts receivables
- Continued follow up on all accounts receivables and collection of due accounts
- Schedule punchlists 30-90-120 day follow ups
- Coordinate with project manager to ensure internal punchlist is complete
- Ownership of final details and promised completion dates
- Ensure punchlists have been completed
Office Manager objectives
- Facilitate office systems pertaining to general office and sales flow organization / operations that allow GM and PM to be more efficient
- Assist the CFO & GM with accounts receivables. This task is a very important role for our company and needs to be diligently completed weekly and followed up on a regular basis
- Keep office organized and tidy
- Ensure supplies for kitchen / bathroom / printer are stocked and in inventory
- Assist with office event coordinating
- Maintain Vehicle insurance, tabs, DOT inspections, and proactive maintenance and filing
- Fleet Maintenance: report accidents, and repair completions
- Drivers license and training list
- Maintain master list data and service dates
- Maintain subcontractor agreements
- Maintain insurance compliance and documentation
Requirements
- Minimum of 3 years of experience preferred supporting a Construction Project Manager in a fast pace environment
- Must be flexible with changing priorities and schedules
- Have excellent communication skills and able to interact positively within all levels of the organization
- Positive, collaborative, and professional demeanor
- Customer focused with the ability to adapt and respond to different personalities while maintaining a positive attitude
- Experience with MS Office, CRM systems, Quickbooks and Smartsheet
