We are looking for an Office Manager to join our Administration Department in our Woodland Hills office. As an Office Manager, you will be responsible for providing excellent client service. NOTE: This is a hybrid position.
Responsibilities:
- Oversee general condition of office (i.e., cleanliness, organization)
- Must be able to manage and supervise administrative support staff by providing guidance and delegation of all administrative responsibilities of office
- Review and approve staff and partner expense reports
- Monitor and assist with office AR collections. Compile monthly billing reports, collections info, timesheets analysis (as needed)
- Analyze office expenditures and make cost-saving efforts
- Along w/Office Managing Partner act as point of contact for renovations, remodeling, etc.
- Ordering of major purchase items: furniture, equipment, etc.
- Oversee renewal of equipment contracts managed in-house
- Along with HR, monitor staff hours including running bi-weekly payroll/OT reports
- Assist HR and Office Managing Partner with new hire process: seat assignments for new hires, issue key fobs & keys, etc.
- Supervision of and task management for administrative staff including performance evaluations
- Schedule back-up coverage and coordinate training for administrative staff
- Coordinate office social events
- Assist Office Managing Partner with projects as needed
- STAR PDM: “Office champion” – act as an office resource on Star processes, procedures, and overall general use & functionality of the program
- Dynamics CRM: “Office Champion”- assist Marketing w/user training, input/edit information when needed; assist Marketing with special projects, as needed
- Monitor office timesheet entry – send reminders daily/weekly/month-end
- Process incoming invoices from per diem/independent contractors and submit for payment
- Reconcile incoming invoices to corresponding packing slips/proposals/quotes: supplies, misc. repairs, etc.
Qualifications:
- Minimum of 8-10 years of administrative experience, preferably in a professional services environment
- Experience with managing a team and direct reports
- High School diploma or equivalent; completed coursework from an accredited college/university is highly preferred
- Ability to proactively troubleshoot problems, ask questions for clarification and understand when to escalate
- Requires excellent interpersonal and communication skills
- High attention to detail
- Able to prioritize competing requirements and/or deadlines
- Proficiency in Microsoft Office Suite applications, web-based research skills and ability to learn firm-wide applications and technology packages
- Highest degree of integrity, professionalism, diplomacy, and discretion required
- Team player with a positive and optimistic attitude
- Capacity to work overtime, as needed

For positions in California, the salary range is $95,000 - $115,000. Actual compensation within that range will be dependent upon the individual's skills, experience, qualifications, and applicable laws.
