JOB TITLE: Medical Services Assistant
DEPARTMENT: Community Living Services (CLS)
REPORTS TO: Director of Community Living Services
FLSA STATUS: Non-Exempt
GENERAL PURPOSE OF THE JOB:
Under the direction of the Director of Community Living Services, with considerable initiative and judgment, provides administrative support to the Adult Services Programs. Tracks and monitors medical appointments. Ensures that all medical documents are electronically archived appropriately and in a timely manner. Schedules medical appointments as required and ensures all medical appointments are completed as scheduled and documented appropriately.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Maintains appointment calendar for each household in agency data system.
Schedules new, annual and follow-up appointments within 24 hours of ER discharge.
Reviews 45-day assessments for any information that may need to be shared with physician while on appointment.
Prepares necessary paperwork for medical appointments. Packets are available every Friday for the following week appointments.
Tracks documentation and communicates to staff and the Community Living Coordinator, overdue/inaccurate/missing documentation.
Maintains a comprehensive spreadsheet of, accurate, and current record of appointments.
Uploads complete medical paperwork, including NPOCs, Medical Appointment Records, Labs, etc., into electronic data system within 24-hours for each resident.
Interacts with residents, families, professional and paraprofessional staff of hospitals and medical clinics and the general public.
Obtains insurance authorizations for all procedures, prior to the appointment for the residents.
Handles large volume of phone calls from doctor's office/residential sites.
Acts as the liaison with other departments related to the health care issues of residents.
Follows the residents' private insurance guidelines to obtain required referrals for medical procedures.
Follows up on labs and radiographs ordered by physicians.
Ensures that TD Screenings are completed every six (6) months by physician performing psychiatric appointments.
Secures consent forms complete, obtain signature, track return and fax consent form.
Obtains sedation orders initiate process to obtain sedation order and ensuring chemical restraint form is up to date.
Utilizes a computer for data and word processing tasks and operates computer-scanning system.
Facilitates the resolution of issues with medical and pharmacy vendors.
Acts as a liaison between the healthcare providers and persons served to ensure excellent care is provided.
Interacts with clients, families, staff, and other caretakers to arrange appointments.
Acts as a back-up staff for all functions in the medication suite.
Performs other related duties as assigned.
Work Schedule: Monday - Friday 11:30am - 4:30pm
SUPERVISORY RESPONSIBILITIES: No
EDUCATION AND/OR EXPERIENCE:
- High School Diploma or G.E.D.
- Experience in an office environment, preferably medical, where administrative and organizational skills are utilized.
- CMT Certified.
LANGUAGE SKILLS:
- Ability to read and comprehend instructions, compose appropriate correspondences and memos.
MATHEMATICAL SKILLS:
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
REASONING ABILITY:
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
CERTIFICATES, LICENSES, REGISTRATIONS:
- Valid non-provisional driver's license from state of residence and acceptable driving record as determined by criteria established by Agency's insurance carrier and by Agency policy.
OTHER SKILLS AND ABILITIES:
- Proficient with Microsoft Word and Excel.
- Experience using a Consumer Database System.
- Attention to detail, ability to organize medications, appointments and records.
PHYSICAL DEMANDS:
- Light duty mostly sedentary, some walking, occasional lifting up to 25 lbs.
- Computer work requiring close vision acuity, use of hands and arms.
ENVIRONMENT:
- Office and residential sites operated by NCIA Community Living Services (CLS).
- Requires driving to and from appointments while transporting residents to/from medical appointments, as required.

Pay: Up to $18.00 per hour
