Access Alaska Inc. is seeking a Human Resource Administrative Assistant An ideal candidate will perform administrative tasks and services to support effective and efficient operations of the organization’s human resource department.
Responsibilities –
Cross Training with part time HR Administrative Assistant
- Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
- Obtains Driver’s License and proof of insurance update
- Tracking BCU Roster to ensure it matches Bamboo
- Every 60 days Track payroll activity to ensure DSPs are actively working maintaining the 61-day rule for the BCU.
- Process for DSP Inactivation’s, Transfer Point
- Process for DSP Annual Reviews Transfer Point
- Maintain Census
- Staff and DSPs by location
- Alphabetical list
- Telephone and Address List for mailings
Employee Recognition
Collaborates with part time HR Administrative Assistant
- Employee recognition for birthday’s, Anniversaries’, and Milestones (5,10, 15, & 20 yrs.), Includes participation in the Sunshine Committee.
- Tracks and forwards Anniversary, Birthday and Milestone certificates, including sending announcement to be added to the Sunshine Committee’s Daily News
Quality Assurance for Compliance Department (10 hours per week as needed)
- Assist Compliance with file reviews
Assists HR Manager and Hiring Specialist with Hiring documents for new hires, prescreening of applicants, posting of opening positions, Medicaid Affiliation and Disaffiliation, Creating Power Points for presentations, setting up Teams and Zoom Meetings.
Daily Tasks
- Answers frequently asked questions from applicants and employees relative to standard policies, benefits hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff.
- Maintains the integrity and confidentiality of human resource files and records.
- Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
- Provides clerical support to the HR department.
- Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, and Holiday Parties for the Anchorage and Mat-Su offices.
Performs other duties as assigned.
Position Requirements – 2 or more years of administrative work experience. Skilled in the use Microsoft Office Word, Excel, and Power Point Outlook Zoom and Teams.
Educational Requirements: Highschool
Other Requirements – Valid Driver’s License, Reliable Transportation, Vehicle Proof of Insurance.
