THE ROLE

Our Human Resources department is looking for an efficient and self-motivated Records Assistant to join the team. The Records Assistant will be a part-time team member, responsible for assembling, filing and maintaining all HR records on an ongoing basis. This role will handle a high level of confidential information; the ability to maintain confidentiality is a must. This is a flexible, part-time position that will require 12-16 hours a week, in office.

MORE ABOUT WHAT YOU’D DO

  • F ile all personnel, supervisory, and medical related documents accurately and on timely basis.

  • Assemble new Team Member files and break down separated Team Member files.

  • Maintain HR records/file room for organizational accuracy and cleanliness.

  • Assist with preparing materials for annual policy recommitment and other projects as assigned.

  • Prepare files for transport to off-site archive storage as directed, conduct annual movement of files, and other end-of-year activities as assigned.

  • Conduct periodic audits to ensure records are filed correctly.

  • Perform other record-keeping and retention duties as required/assigned.

  • Assist with office supply maintenance, ordering, and management.

  • Schedule is flexible but must include Fridays to meet business needs; approximately 12-16 hours/week.

WHAT WE’RE LOOKING FOR

For this role, we seek organized, methodical and mindful candidates experienced and skilled in the fundamentals of record keeping. Successful candidates will possess the following:

  • Efficient and self-motivated in their day-to-day tasks

  • Ability to pivot and prioritize with a high level of attention to detail and commitment to accuracy.

  • Possess a strong ability to problem solve with creativity and critical thinking A high level of attention to detail and commitment to accuracy is vital in this position.

  • Ability to lift and carry file boxes and supplies (approximately 30-40lbs) and work within a confined space, reach/bend/stoop and use a ladder.
