Global Regulatory, Medical, Safety, and Compliance Project Coordinator

In this role, you would join an industry-leading Medical and regulatory Affairs team responsible for developing scientific strategies grounded in new medical insights that will be used to power our innovation pipeline, establish new claims that expand availability, and communicating science to consumers, healthcare professionals and regulatory authorities.

YOUR TASKS AND RESPONSIBILITIES
The primary responsibilities of this role, Global Regulatory, Medical, Safety, and Compliance Project Coordinator, are to:
- Coordinate activities across functions and follows up to ensure that requests are carried out, incl. management of shared files and databases for department;
- Assist in meeting planning and preparation work needed, i.e., drafting agendas and broader communications;
- Travel coordination assistance and expenses management for the MA & RA Global heads;
- Establish and maintain departmental databases (SharePoint) and develops spreadsheets of importance to department, sets up files and maintains documents in SharePoint;
- Assemble and analyze information; prepares reports, manuals, agendas, communication, correspondence, and memorandum as guided by general company practice;
- Prepare materials in final form from very rough and involved drafts which may utilize frequent use of technical terminology and which combines materials from several sources;
- Coordinate details and contract management of internal / external meetings and/or on and off-site conferences and events (incl. supports for Advisory Board meetings);
- Coordination and administration of grants Investigator Continuous Medical Education and Initiated Research (CME and IIR);
- Process vendors information in Systems Applications and Products (SAP), obtains purchase orders and tracks and handles payment of invoices;
- Request and track legal agreements in Contract LifeCycle Management System (CLMS) system.

Required qualifications:
- Bachelor’s degree;
- Experience in using business systems such as SAP and Excel is required;
- Strong organizational, decision-making and process management skills;
- Proficiency in Microsoft Word, PowerPoint and SharePoint is required;
- Ability to function effectively and successfully in a complex multifunctional environment;
- Collaborative, team-oriented, flexible;
- Effective written and verbal communication skills;
- Open and willingness to learn fast and new aspects, esp. Information Technology (IT) related.
Preferred qualifications:
- Bachelor’s degree with a minimum of 2 years’ relevant experience;
- Or Associate’s degree with a minimum of 8 years’ relevant experience;
- Or high school diploma with a minimum of 10 years of relevant experience;
- Experience in a medical & regulatory affairs discipline is preferred;
- Strong knowledge of Bayer systems and policies around invoicing and purchase requests is preferred;
- Project management skills and experience is a plus.
