Position Overview:

Oversees activities of Front desk/reception area. Responsible for greeting residents and visitors in person or on the phone, receiving and distributing mail and package deliveries and assisting the
Business Office with bookkeeping, clerical and scheduling activities.

The front desk/reception area is a busy intersection where residents, visitors and healthcare workers interact. This area is fast paced and requires an eye for detailed record keeping and an understanding of the requirements of a reception area.

Reports To: The Business Office Manager

FLSA Status: Non-Exempt

Minimum Requirements:

  • A minimum of 2 years’ experience in a healthcare office or other similar position required.
  • Self-motivated, organized and professional.
  • Ability to establish and maintain effective and productive working relationships with organization residents, employees and visitors
  • Must have the physical ability to perform job-related duties with or without accommodation, which require o Stand/walk on tile and/or carpet 25% of time o Sit, various chairs 75% of time o Pushing NA o Lifting up to 20 lbs

Performance Principles: The Receptionist/front desk is often the first impression in greeting residents and visitors, in person or on the phone, helping assure that on-site visitors and guests are authorized to be on the premises and providing guidance and directing calls. The Receptionist must be compassionate and patient in working with the elderly and elderly resident’s family members and guests in collaboration with the care team and other service providers, consistent with the Mission and Values of the St. Louis Altenheim.

Functions of the Role of the Receptionist/Front Desk:

  • Greet incoming residents and visitors
  • Direct residents and/or guests in person or by phone to the appropriate area
  • Greet professionals, vendors, consulting physicians, students and other visitors and provide appropriate direction related to parking, visitor and vendor sign-in, name tags and directions to appropriate area
  • Operate fax machine, copier, multi-line phone system, scanner and basic computer systems
  • Assist the Business Office with cash procedures, accounts receivable and accounts payable processes under the supervision of the Business Office Manager and consistent with established Accounting

Procedures

  • Provide clerical assistance to the Administrator and Board of Directors

Specific Duties of the role of Front Desk Receptionist:

  • Assist with set up of new employee files, payroll recording and distribution of checks.
  • Receive and distribute mail
  • Assist with Book keeping under supervision of the Business Office Manager o assist with recording cash payments received o assist with entry of approved, coded expense reports from Management o assist with accounts payable procedures to scan into Bill.com system
  • Assist with filing business office documents
  • Inventory and order office supplies
  • Actively participate in community emergency preparedness and compliance and quality programs and activities.
  • Maintain current knowledge of and adherence to all applicable policies and procedures established by the Board of Directors and management.

The Altenheim (German for Elder Home) still occupies the same historic land where it opened its doors more than a century ago. In 1972, this historic residence was completely replaced as a modern, beautiful residence for the elderly.
