We are looking for a front desk receptionist. We desire someone who has an outgoing personality, friendly and able to multitask. Bilingual is a plus.

QUALIFICATIONS:

High school diploma or equivalent

Fluent in both English and Spanish is a plus

Prior medical office experience and /or customer service experience is a plus

Must have cultural sensitivity and ability to work with diversity

Detail oriented

Ability to prioritize

ESSENTIAL JOB FUNCTIONS:

1. Never says “NO”

2. Performs day-to-day administrative functions and general office duties including but not limited to answering phones, data entry, scanning, copying, faxing, updating patient information upon each patient visit, etc.

3. Provides information to callers according to the Clinic’s Policies and Procedures; transfers calls as needed; works together as a team to ensure adequate registration/phone coverage at all times.

4. Welcomes and greets patients/clients/visitors on the phone or in the building with a smile and in a manner that is helpful and friendly; determines purpose of visit and direct patients/clients/visitors to appropriate person or department(s).

5. Schedules patient flow to clinic based on predetermined appointment arrangements to allow the clinic to serve an adequate number of patients. Employee should make every effort to keep provider schedules filled to max capacity.

6. When scheduling appointment, carefully screens patients for new address, new patient visit, or updates registration, and informs patient of adequate information that must be presented at time of visit.

7. Must exercise utmost diplomacy and tact to provide excellent customer service for patients and other callers; practices confidentiality and privacy protocols in accordance to Clinic policies and HIPAA requirements.

8. Verifies insurance coverage when scheduling appointment, keeping in mind name spelling and date of birth.

9. Create appropriate notes and/or alerts in patient record to ensure consistent communication within all departments

10. Requests and ensures receipt of all Newborn records, ER records, and Hospital records PRIOR to patient's arrival for appointment.

11. Calls unconfirmed patients daily to remind of next day’s appointment.

12. Informs patient of any existing balance noted in computer and requests patient be prepared for any payment due at time of visit.

13. Verifies method of payment for service (Medicaid, private insurance, private payee, etc.) and collects data and/or payment at check-in as appropriate. Determine when sliding fee scale needs to be addressed with patient. Determine when business office needs to set up payment plan.

14. Facilitates patient flow by checking patient in upon arrival, verifying demographic/insurance information if not done when scheduling appointment; Communicates schedule delays with patients and clinical staff

15. Greets and checks patient out as they are leaving. Thanks patient for visiting us.

16. Prints “Daily Payment Report” at end of day. Verifies that all cash, checks, and credit card receipts match report. Makes any necessary corrections. If cash envelope is unopened, dates and initials sealed envelope. Submits report, receipts, and all collected monies to business office.

17. Exercises problem-solving and conflict resolution skills when handling patient complaints; refers patient complaints to appropriate designated personnel as needed.

18. Attend and participate in scheduled department staff and clinical meetings.

19. Maintain neat, clean, and professional work space.

20. Oversees lobby & bathrooms to ensure all are neat, clean, organized, and adequately stocked with office supplies.

21. Must be highly flexible; able to accommodate changing needs of the front office.

22. Ability to work well under pressure with minimal supervision. Willingness to handle a variety of tasks.

23. Take initiative! Don’t wait to be asked to do something.

24. Must have a willingness to perform any and all duties that may be asked or required of you. Has a willingness to pitch in and help in ANY department of the office.

25. Maintains healthy/happy relationship with fellow employees. Use tact and respect when speaking to and about each other. We are a TEAM!!
