The Food Resource Coordinator (FRC) is a liaison between the Mid-South Food Bank (MSFB), partner agencies, and food donors (retail stores, food companies, the agricultural community, and other food sources). The FRC provides oversight for the day-to-day operations of the Mid-South Food Bank’s Retail Store Donation Program (RSDP) which serves 31 counties in the mid-south. Responsibilities include managing agency and donor relationships, building the number of participating stores, increasing the amount and variety of donated product (food and non-food); maintaining compliance with food safety regulations; educating retail store and agency personnel on program guidelines, monitoring compliance, managing donor recognition efforts; and complying with record keeping standards set by Feeding America.

Responsibilities:

Food Acquisition

  • Expand the food acquisition program by calling on food companies, wholesalers, distributors, the agricultural community, and other food sources to increase food donations to the MSFB.
  • Maintain regular communication with Feeding America’s product sourcing department for updated information and background on national partners.
  • Maintaining awareness of changes in the food industry and using the information to develop efficient strategies to maximize donations.

Agency & Donor Relations

  • Effectively resolve issues with donors and agencies according to established protocols.
  • Coordinate routes with retail drivers to ensure prompt pickup and compliance with standard operating procedures for food safety and storage.
  • Training agency representatives to report poundage in MealConnect and manage the reporting process for efficiency.
  • Identify underperformance or non-compliance and respond accordingly.
  • Offer professional customer service that will attract new and repetitive food donations.
  • Identify and engage with prospective donors to increase the number of food sources in our network.
  • Attend food industry events including local and regional trade shows, association meetings, and network conferences as required.
  • Create and routinely implement an onsite visitation plan with all donors to provide technical assistance, follow-up, and recognition.
  • Work with Agency Relations to establish a process for managing agencies participating in the Store Donation Program (SDP).
  • Report on donor and agency interactions weekly.
  • Collaborate with warehouse staff as needed to ensure efficiency.

Administrative

  • Produce reports using a donor tracking system to track trends, volume, and other critical information.
  • Ensure data integrity through timely updates and enhancement of the donor records.
  • Document all agency and/or retail visits.
  • Manage time in and out of the office efficiently.
  • Monitor exceptions in MealConnect and implement strategies to resolve them.
  • Enter information in Ceres and generate reports as needed.
  • General
  • Attend food safety training and relay information to constituents as appropriate.
  • Maintain positive interpersonal relationships with donors, volunteers, agency representatives, visitors, management, staff, and the board of directors.
  • The FRC is expected to perform other duties as assigned.

Qualifications:

Associates or Bachelor’s degree preferred
Minimum of three years of donor engagement, customer service and/or inventory management experience (preferably within the food and grocery industry)
Excellent presentation and communications skills
Strong writing, analytical and organizational skills
Computer proficiency, including Microsoft Office™ and Client Relationship Management platforms
The ability to maintain accurate and legible records
Access to a motor vehicle, valid auto insurance coverage, valid Tennessee driver’s license, and satisfactory driving record
Ability to maintain good working relationships with people of various ages and educational backgrounds, and those with different ethnic and socio-economic backgrounds
Strong ability to work independently and collaboratively to solve problems
